Overview

Cypress Employment has a client in need of a Finance Assistant in Mobile, AL.

 

Summary of Position:

Assists the CFO and other executives on an as-needed basis with assigned responsibilities, including supply management, coordination of building maintenance and operations, serving as backup for essential accounting functions. Responsible for preparing and processing documents including but not limited to the collection, sorting, and filing of accounting and related information.

Essential Functions:

Assist CFO with building maintenance, contractor and service provider interface, renovation projects, and other building-related tasks for both properties, acting as a contact for repairs and maintenance.
Has primary responsibility for phones in the department, and acts as telephone relief for Administration and front desk as needed. Answer telephone inquiries about programs, events, and any other matters relative to the departments.
Prepares and distributes income reports for all incoming payments deposited daily.
Coordinates ordering, storing, and distributing necessary office supplies, stationery products (MACC/Foundation), and materials, including month-end and year-end inventory accounting.
Serves as backup for the AP and AR processes.
Serves as backup for the Executive Assistant to the President and CEO.
Oversees reservation and set-up of meeting room reservations for staff/member meetings, news conferences, teleconferences, receptions, and other events.
Maintains organizational files, forms, PO control logs, inventories, and other pertinent documents.
Responsible for petty cash reimbursement and monthly balance.
Oversee and maintain the check signature log for company.
Sorts and distributes mail for Administration, Finance, and Membership.
Maintain and update staff phone lists in the company database.
Serves as backup for Administration and Help Desk as required.
Prepares correspondence for CFO, handling routine responses as directed.
Records time and attendance daily.
Supports the importance of Diversity, Equity, and inclusion throughout the company and its program of work.
Attends staff, departmental meetings, and safety and health training, as required, on time.
Works when scheduled and complies with company attendance policy.
Observe and practice all safety procedures and policies.
Travels as required.

Knowledge of modern office and secretarial procedures and methods, including telephone communications, office
systems, and record keeping.

Must be able to effectively read, write and communicate in English.
Must have above-average computer skills including Microsoft Office Programs.
Must be able to add, subtract, multiply and divide, using fractions and decimals.
Must be able to work well under pressure and manage priorities.
Must be able to demonstrate organizational skills and attention to detail.
Must be able to lift and carry up to 25lbs. occasionally.
Must be able to see within normal range with or without corrective lenses.
Must be able to sit for extended periods of time while using hands, fingers, and wrists repetitively on a keyboard.
Must be able to occasionally climb stairs.
Must be able to stand and walk throughout the day.
Must be adaptable to change with short notice.

Experience/Education:

 

A college degree in Accounting or a related field preferred. High school graduate or GED with a minimum of 1-3 years of AP/AR and clerical experience required. Must have a valid driver’s license and pass a background and motor vehicle check.
