Summary

The Chronic Disease and Injury Prevention (CDIP) Division of Public Health | Seattle & King County is seeking an Administrator I to join our team!

The position serves in various administrative and financial capacities. This position provides the main accounts payable support for the division, which includes invoicing, coordinating with programs, and communication with external stakeholders. The person also serves as a Human Resources liaison for the division. Other functions may include inputting journal entries, reviewing and inputting contracts, procurement of services and supplies, and support processes of budget reporting. This position serves as an integral part of the Administrative and Finance team and plays a key role in supporting multiple work projects and programs within APDE/CDIP team.

Work Schedule:

This position will work full-time, or 40 hours per week. The required work schedule for this position is Monday through Friday, 8:00 a.m. to 5:00 p.m.

The work associated with this position will be performed predominantly by teleworking; complemented with onsite work and meetings as needed. Employees will have access to shared workspaces at various King County facilities. Employees must reside in Washington state and within a reasonable distance to their King County worksite to respond to workplace reporting requirements.

Employees will be provided with a County issued laptop and must maintain a workspace with an internet connection (access may be supplemented in some situations) where they can reliably perform work and remain available and responsive during scheduled work hours. Please note that when an employee conducts work that is likely to bring them in contact with another individual, safety precautions are required, including the wearing of masks in some situations . King County is doing its part to reduce the spread of COVID-19 and remains committed to reducing our carbon footprint.

Job Duties
  • Provide administrative support and section coordination for the division such as: documentation of minutes, tracking workload and assignments, email management, and records management.
  • Coordinate new staff on-boarding, standard work processes, and staff moves.
  • Draft, edit and/or compose original documents and presentations using proper grammar, spelling and punctuation.
  • Research payment issues and concerns to include verifying payments have been made.
  • Update and maintain division SharePoint site.
  • Serve as the main invoicing contact within the division and provide customer service to internal clients and external vendors regularly handling difficult situations requiring tact, discretion, and diplomacy.
Financial (including but not limited to):
  • Process invoice payments using Oracle iExpense/iProcurement.
  • Create requisitions and process Purchase Orders. Review Purchasing Card (P-Card) Transactions for approval and maintain all back up documents and receipts. Coordinate Expense and Travel approval and reimbursements.
  • Order and maintain office supplies inventory and assist with the procurement of technical equipment for the division.
  • Creating journal entries to revise financial transaction as directed.
  • Backup contract liaison: Review contracts drafted by program staff review for correctness/completeness. Upload into our contact management system, create invoices and track/log/monitor contract expenditures.
  • Perform other duties as assigned.
Experience, Qualifications, Knowledge, Skills
  • Have experience providing administrative support in a high volume, fast paced, deadline driven environment.
  • Have experience purchasing goods and services, processing invoices and expenses. Track and maintain files of payment documents and correspondences.
  • Knowledge and demonstrated experiences using procurement and financial management systems
  • Demonstrated direct experience of Human Resources hiring processes
  • Have at least intermediate level experience using MS Word, Excel, Outlook, PowerPoint, and SharePoint. Experience developing, managing, creating, and preparing specialized reports in Excel.
  • Demonstrated experience working with contract tracking.
  • Experience in liaising with various stakeholders, such as internal or external clients to resolve complex issues which includes internal policies and procedures.
  • Ability to move up to 25 pounds from one location to another and the ability to repeatedly sit and stand throughout the day.
Desired Qualifications
  • Experience using Oracle EBS
  • Experience with payroll processing in PeopleSoft.
  • Experience with NeoGov and Workforce Tracking, or similar HR software
  • Knowledge of accounts payable and contracting.
