Description:

This dynamic role works with the capacity management team to facilitates scheduling staff and resources to provide efficient and effective staffing throughout the organization. Under the direction of clinical leadership, through partnership and collaboration with clinical units, will work to ensure acute care staff are scheduled, authorized if indicated, and confirm that a safe staffing plan is in place. In addition, the scheduling coordinator will provide timely notification of schedule changes and input information in the timekeeping system, to support the overall success of patient flow.

What you will do:

  • Utilizes appropriate patient care resources to fulfill any staffing needs, based on workload and patient to staff ratio for current and upcoming shift, taking into account staff skills/competencies/experience.
  • Partners with Hub C3 to ensure potential staffing concerns are proactively addressed
  • Partners with Unit C3s to address any staffing shortages or overages
  • Receives sick calls / call offs and works to fill vacancies for current and next shift.
  • Monitor’s staffing levels across the facility to ensure each unit meets the appropriate patient to staff ratio. Reports concerns to Administrative leader.
  • Assesses appropriate patient care resource usage based on facility healthy workplace guidelines.
  • Assesses for opportunities to float staff from over-staffed units to under-staffed unit, notifying the Unit C3 prior to calling off staff.
  • Partners with Unit C3s to identify potential staff to float from an overstaffed unit.
  • Assigns capacity management staff and notifies based on hospital guidelines.
  • Assigns on-call staff to schedule, prior to calling in.
  • Calls in on-call staff when needed.
  • Oversees future scheduling of staff for any centrally based staff pools and/or contract workers.
  • Reviews unit future schedule plans to assure schedules are balanced.
  • Identify & plan for additional supplemental staffing resource support (i.e. per diem, on-call, etc.) based on planned-vs-actual schedule variance indicators (overtime, contract labor usage, on-call usage, incidence of being understaffed).
  • Establish standard competency / credential / experience categories to meet resource deployment needs of units.
  • Maintain employee specific credentials in designated software system.
  • Partner with Unit C3s to create demand-based future scheduling patterns.

Education, Training, Experience, Certification and Licensure:

  • High School Diploma or GED required.
  • Associates Degree in office management or related field strongly preferred.
  • A combination of education and experience with advanced computer skills required.
  • Ideal candidate will be detail oriented with excellent organizational skills.
  • Minimum of 2 years of administrative or healthcare environment experience required.
  • Previous scheduling and staffing experience preferred.
  • Any background in the recruiting industry, as well as experience in human resources and customer service is beneficial.

Knowledge, skill, and abilities required:

  • Demonstrates proficiency computer skills, Excel and other Microsoft Office applications.
  • Knowledge of the medical field and general nursing staff requirements are necessary.
  • Excellent interpersonal communication and multi-tasking skills.
  • Must be able to secure and maintain private and confidential information.
  • Ability to effectively communicate with hospital staff and to successfully complete generic and department-specific skills validation and competency testing.
  • Working knowledge of Time /Attendance and Staffing system preferred.
  • Must be detail oriented with strong organizational and planning skills.
  • Ability to work independently with minimal direct supervision.
  • Ability to analyze and problem solve.
  • Ability to work well under pressure and within tight deadlines
  • Ability to multitask and adapt to shifting priorities
