The UW Finance Transformation Program (UWFT) is a $269 M initiative to replace the University’s financial systems with an integrated system to manage the full suite of financial transactions and reporting needs in the UW system – to include academic, administrative, and healthcare. UWFT will fundamentally change the processes and tools that the University employs to track, spend, collect, manage, and report University finances of more than $7 B in annual revenues, resulting in more timely and actionable information for leadership. Among the UW’s highest administrative priorities, this multi-year initiative is one of the largest finance system projects in Washington State and the outcome of the program will be highly visible at all levels of the University and the state.

The UW Finance Transformation Program has an excellent opportunity for a Design Process Manager.

Reporting to the Design Director, the UWFT Process Manager will primarily lead the effort to coordinate Workday touchpoints, ensuring seamless linkages across functional modules. This position will manage and build collaboration within and across end-to-end process areas and work-streams, facilitate process interconnection and alignment, and drive to a seamlessly integrated end-user experience. This position must work collaboratively across teams within the program to bring consistency to design approach, collaborate with consultant resources to align teams with established methodology, and support establishment of testing procedures that will support full end-to-end testing of system capability.

RESPONSIBILITIES:

Functional and Technical Leadership

  • Work to deploy a consistent process transformation methodology across the 9 Functional Areas, ensuring Workday touchpoints are recognized and designed for in system configuration
  • Develop deep understanding of UW business needs, functional capabilities of Workday and implementation methodology to ensure optimal system configuration
  • Coordinate with end-to-end business process design and operating model implementation team to ensure comprehensive system design
  • Coordinate and participate in University design workshops, assist in the development of business process and role design documents, reviews impact assessment and assists in the identification of gaps
  • Responsible for providing functional expertise for the financials components in scope. Recommend solutions to University requirements and provide input to the design of cross-application solutions. Escalate issues and risks.
  • Participate in and coordinate cross-process initiatives, ensuring a consistent outcome from a comprehensive tool kit
  • Participate in development of coordinated testing approach and methodology, with a goal of efficient and thorough test plans and end-to-end traceability
  • Advocate for standardized processes at all levels across the enterprise (Academy and Medicine)
  • Lead cross-workstream initiatives like the development of requirements traceability work, participate in information management within the program (making information available across workstreams to inform specific work people are doing in their workstream to facilitate connections and collaboration, reducing rework and redundancy)
  • Will directly supervise two or more Business Analysts

    Project Team Leadership

  • Provide overall leadership and subject matter expertise in the implementation of the Financials functionality in scope and oversee the timely completion of deliverables required by the project plan
  • Build effective working relationships with project team members and key stakeholders, including all workstreams within the program, consultant resources and business stakeholders
  • Review and contribute to key project deliverables, including project charter, work plan, budget, status reports, test plans, training plans, risk mitigation plans, quality management plans, requirements management, change management plans, and communication plans
  • Coach/Support/Train team members in the tools, methodology and approach of design thinking and business analysis, as tailored for finance transformation at the UW
  • Delegate a team of Business Analysts to work across workstreams where additional design support is needed
  • Establish vision and align leadership on the “level of transformation”, set and manage process transformation objectives

    Communication and Facilitation

  • Facilitate issue resolution within work streams, anticipate and handle critical situations as they arise, and inform appropriate stakeholders; act as high-level negotiator between workstreams to resolve conflicts around touchpoints or approach
  • Contribute to project status reports. Represent the team in communicating project status and issues to all levels at the university, as required. Other duties as required

    REQUIREMENTS:

  • Bachelor's Degree in business administration, information systems, accounting, or related field
  • 6-8 years of experience working in a complex, decentralized financial organization, improving systems and working across teams to build operational efficiencies
  • Experience with enterprise application deployment, system development life-cycle processes, and business process improvement
  • Ability to understand business and technical issues and alternatives, and facilitate problem solving and issue resolution within and across these modalities, including phases of fit-gap analysis, system design and configuration, security design, system integration, data conversion options, testing, training, reporting, requirements tracking, and business process improvement
  • Experience supervising a team, effectively managing business or technical staff, and coordinating the work of consultants/vendor resources
  • Experience as a collaborative and supportive member of a management team working to accomplish project goals
  • Effective team-building and motivation skills, including a proven track record of developing and building on team member strengths, helping team members with challenges, and providing a supportive working environment to enable active employee engagement and optimal team performance
  • Ability to deal with trade-offs, conflict, and change management in a collaborative and positive manner
  • Ability to utilize disciplined project management methodologies and tools, such as project management systems, issue tracking, risk management, and requirements management systems; ability to develop efficient project procedures and quality control methods
  • Knowledge and experience preparing for and managing organizational change
  • Ability to communicate clearly, in writing and orally, to both technical and non-technical audiences
  • Experience communicating with senior management and technical staff on critical project issues
  • Experience successfully managing project budgets

    Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.

    DESIRED:

  • Experience working at a consulting firm, managing system implementation projects
  • Experience in a large university, medical center or other large enterprise
  • Experience participating in the implementation of a large enterprise resource planning (ERP) or similar software
  • Experience with pre- and/or post- grant award functionality in large, complex organizations
