Library Office Associate (Part time)

Position Summary:

The Library Office Associate performs a diversified range of secretarial duties, complex and routine, for the Library Director and other professional staff, monitors Interlibrary Loan services and assists with Circulation services functions. This position maintains all Library records relating to monetary expenditures, at all times exercising a moderate degree of decision-making and independence of action. Work hours are flexible depending on the needs of the Library and the incumbent.

Supervision Received/Supervision Exercised: This position reports to the Library Director and may supervise student assistants as needed.

Essential Functions:

• Maintain all the detailed internal records of library expenditures. Review and reconcile with Financial Services report.

• Maintain library statistics.

• Order and distribute supplies for all library departments.

• Design, format, collect information and produce library newsletter, annual report and other library publications.

• Maintain library files in electronic form.

• Organize and keep shared files up-to-date.

• Scan print documents and maintain and organize files in the shared drive.

• Place work orders and copy center requests.

• Report malfunctioning library equipment to appropriate personnel.

• Serve as back-up for circulation desk as needed.

• Assign study carrels in fall and winter terms.

• Maintain the library staff calendar and room scheduling as necessary.

• Send out instructional evaluations to professors upon librarian request.

• Oversee Interlibrary Loan (ILL) services and train and assist ILL students as needed.

• Process reserve readings in the Integrated Library System (ILS).

• Assist the Director of the Library with special projects.

• The list of functions above is not necessarily inclusive of all duties that will be assigned to the   individual in this position.

 

Required Qualifications:

• High school graduate.

• Ability to maintain detailed and accurate budgetary records.

• Excellent organizational skills.

• Previous experience in a library (preferred) or office setting.

• Experience with a variety of computer software, especially Microsoft Office, for word    processing, spreadsheets and desktop publishing.

• Excellent interpersonal skills and service attitude.

• Demonstrated willingness and ability to learn.

 

Physical Requirements:

Most of the workday consists of sitting and working on a PC, using a standard computer keyboard and monitor. The person in this position must also move throughout all levels of the Library and all over campus to deliver and pick-up items.
