Salary: Range 46-- $31.0656 (step one) - $39.3775 (step ten) hourly*

Work Schedule: Monday-Friday - our core business hours are 8:00 a.m. to 5:00 p.m.; an alternative schedule is subject to supervisor approval.

Work Location: In-person/telecommuting hybrid; Downtown Seattle Courthouse, 5th floor

A successful candidate will possess a desire to learn a wide variety of new skills and be able to adapt to, and work comfortably in a fast-paced environment with various responsibilities. They must be flexible and possess the ability to work both as part of a team and independently. This position maintains, prepares and processes documents for the filing of Criminal cases. Employee will be trained on various "desks" and will rotate assignments. These positions require heavy organization and data entry skills. Policies, guidelines and procedures of the district and superior courts must be understood and applied at a complex level.

Job Duties
  • Receive, process, and maintain police referrals and follow up for all felony cases including exclusive to Seattle: Failure to Register and Fugitive cases.
  • Collaboration: be part of a team that supports each other in the daily priorities; taking ownership of all unit responsibilities.
  • Perform extensive data entry in various software management systems: Adobe Pro, Excel, FORS, JABS, JIMS, JMS, KCScript, PbK and Word.
  • Prepare, proofread and/or edit charging documents, Orders and PC documents: Creation of Motions to: Seal, Amend, Dismiss, Arrest Warrants (knowledge and ability to identify custody status of Defendant and if creation of Transport Order is needed).
  • Use electronic court systems for filing Felony and District Court Expedited cases: E-file, Transfer to Court, ShareFile.
  • Assign and update cases to attorneys through PbK on a weekly basis.
  • Process attorney requests, declines and more information requests to detectives.
  • Create and maintain telecommuting and Arraignment date monthly calendars.
  • Work closely with law enforcement agencies, Attorneys, Paralegals, Records and MRJC Filing Unit.
  • Work in tandem with Records Investigation desk and various attorneys to ensure that RUSH cases are either held or stricken in a timely manner.
  • Answer numerous phone calls and emails in a timely manner.
  • Assist numerous Units and Staff supervisors as requested.
  • Assist DXU with staffing of Evidence packets or other discovery issues.
  • Mandatory participation at weekly team meetings: Team expected to be updated with any procedural changes and practices. At these meetings, participation and sharing is expected if any issues come up during the week.
  • Team rotates four different desks every month: E-LODI, E-filing, RUSH and Warrant. Everyone is trained on all job aspects of the Filing Unit to ensure full coverage for vacations and sick leave.
  • Attend mandatory ESJ trainings.
  • Active Participation in PAO equity work, attending trainings and discussion.
Experience, Qualifications, Knowledge, Skills
  • Knowledge of the criminal justice system and general office principles and practices.
  • Demonstrated proficiency with various software: Adobe Pro, Excel, FORS, JABS, JIMS, JMS, KCScript, PbK and Word.
  • Employees in the Filing Unit handle a voluminous case load while needing to be extremely accurate. In their work, the judgment and discretion that is necessary for this position is significant and errors could result in serious issues.
  • Skills in working with time constraints and meeting deadlines; assume unscheduled and unexpected responsibilities, while working under pressure and giving attention to detail.
  • Problem solving and analytical skills needed to identify procedural and policy changes.
  • Ability to maintain confidentiality and discretion involving sensitive matters.
  • Being receptive to instructional feedback and coaching procedures-the way we do business often changes due to program updates.
  • Demonstrated predictable, reliable and timely attendance.
  • Skills in teamwork, customer service and interpersonal communication; specifically with co-workers, attorneys and law enforcement.
  • Skills to provide information, based on acquired job knowledge and overview, to other employees and law enforcement agencies.
  • Skills to maintain an overview of complex processes and the ability to prioritize and complete each complex process.
  • Skills to work independently and follow through on given assignments.
