 CHS is seeking a qualified candidate to serve as a Public Health Administrative Support Supervisor (PHASS) to oversee central administrative support for the division and to work as a partner in the Community Health Services float pool, helping to hire, schedule, and monitor the work of the float pool staff.  The PHASS will supervise central administrative and float pool administrative staff and possibly interpreter and dental assistant float pool staff.  The PHASS position is based in the Chinook building but will be required to travel to other locations as needed.  During the COVID-19 response, the PHASS will also supervise administrative staff supporting COVID-19 vaccine operations.

The successful candidate will possess strong analytical and problem-solving skills, proficiency in Office 365, demonstrated ability to provide supervision to staff who are on-site and off-site, and superb customer service skills while working in a fast-paced and dynamic work environment.

WORK LOCATION: 
This position is based at the Chinook Building; limited telecommuting may be permissible; this position will have to report directly to the Chinook Building.

Job Duties

  • Supervise and direct the work of assigned staff in the Chinook building who provide division-wide administrative support, plus temporary administrative staff during the COVID-19 response.  Work includes hiring, training, performance evaluations, performance improvement, and scheduling. Support float pool operations and back up float pool PHASS.        Coordinate scheduling of agency staff.  Assist in float pool scheduling and administrative tasks.  
  • Develop, implement, and evaluate division staff onboarding, training, and support for float pool administrative staff.
  • Monitor staffing patterns and adjust float pool staffing to meet demand.  
  • Coordinate, monitor, and participate in special administrative projects for Community Health Services, such as supporting the transition to SharePoint/One Drive, selection and contracting with new copier/printer vendors, emergency preparedness, among others.
  • Act as the facilities lead for the 10th floor of Chinook.        Assure floor facilities needs are addressed.  Coordinate the response group that manages front door access and provides coverage for administrative support for the floor.  Assist in floor plan updates and future planning.
  • Contribute to development of protocols, policies, or materials. 
  • Participate in strategic planning as it relates to meeting goals for stable staffing and safe and efficient site operations.

Experience, Qualifications, Knowledge, Skills

  • Knowledge of supervisory techniques and principles  
  • Knowledge of human resources management techniques and principles
  • Demonstrated strong organizational skills; skill in coordinating work assignments with and between staff members.
  • Intermediate experience using the Adobe, Microsoft Office Suite, including Outlook, Excel, PowerPoint, and Publisher, as well as SharePoint and OneDrive. 
  • Demonstrated time management and self-direction skills to prioritize work and complete multiple tasks simultaneously and accurately.  
  • Excellent customer service skills; maintains a professional demeanor at all times; and uses tact and discretion in difficult communications.
  • Editing and proofreading skills.
  • Knowledge of general office policies, principles, and practices.
  • Knowledge of basic accounting procedures and mathematics.
  • Demonstrated ability to work effectively with diverse individuals, teams, committees, and organizations serving vulnerable and marginalized populations including people experiencing homelessness.
  • Demonstrated ability in tracking multiple ongoing and one-time projects, including prioritizing the workload of administrative staff and functions.
  • Demonstrated ability to work independently and as a member of a team.
  • A deep commitment to equity and social justice
  • Ability to lift and carry 25 pounds is desirable but not required.
  • Ability to travel to locations around Seattle & King County for occasional meetings.
