The Administrator I supervises, trains, mentors, and manages the performance of several administrative staff for large units within DCHS. Successful candidates will have substantial experience in office administration, both internal/external customer service, and prior experience providing direction and delegating work assignments.

Work Schedule: This position is scheduled to work 40 hours per week, Monday through Friday, and is overtime eligible with pre-approval from the supervisor. This position is not represented.

Job Duties

  • Supervise and direct the work of an administrative staff team, including but not limited to monitoring the quantity and quality of work, ensuring deadlines are met, training, arranging for backup coverage when staff are absent, hiring, managing timesheets and attendance, and completing performance evaluations. 
  • Support the Division in the administration of personnel matters, including but not limited to drafting correspondence to staff regarding the conditions of their employment. Work closely with human resources staff to coordinate necessary procedures for hiring new staff and staff termination. 
  • Develop and maintain detailed systems to track various items and ensure your own deadlines and some deadlines of others are met.
  • Identify areas for process improvement and implement changes to improve quality and promote efficiency.
  • Draft, proofread and finalize various documents, including letters, memos and reports, ensuring they conform to Department style guidelines and established procedures, appropriate use of the English language, correct grammar, spelling and punctuation.
  • Manage and update the Website, SharePoint site and general mailbox.
  • Schedule meetings and handle all arrangements associated with meetings (room reservations, equipment, etc.); take and transcribe meeting minutes.
  • Serve as a Purchase Card holder. Place orders, process and reconcile transactions in Oracle.
  • Serve as a Department Records Coordinator. Provide hard copy and electronic file management, and guidance to others, following the records retention schedule and King County records/archiving procedures.
  • Serve as the travel policy lead, including making reservations and reviewing travel packets to assure they comply with Department standards.
  • Troubleshoot technical issues with computers, printers, phones (desk and mobile) and copiers. 
  • Perform other related duties as assigned.

Experience, Qualifications, Knowledge, Skills

  1. Two or more years' experience supervising or leading a team, ensuring smooth operations, providing direction regarding work assignments, delegating work, ensuring high quality work product and problem solving.
  2. Must have at least five years of administrative support experience.
  3. Experience with LEAN or process improvement and implementing changes as a result.
  4. Experience using Site Core, or an alternative content management system, for Website management.
  5. Intermediate proficiency in using Microsoft Office suite, including intermediate proficiency using SharePoint and OneDrive.
  6. Strong customer service skills in all forms of communication; the ability to work positively within a team environment, maintaining professionalism, patience and etiquette in all encounters.
  7. Ability to identify and prioritize time sensitive matters and respond with a sense of urgency, as needed, while adapting to changes in work load demands.
  8. Proven ability to multi-task and remain organized in a fast paced environment with multiple deadlines and changing priorities; the ability to identify and prioritize time sensitive matters and respond with a sense of urgency, as needed.
  9. Proven skills in analysis and conducting research in order to complete work assignments.
  10. Ability to maintain a high level of security and confidentiality and handle all matters in a highly ethical manner.
