As the Payroll System Specialist this role is under the supervision of the Payroll Manager, utilizes knowledge of commonly used payroll principles, practices, concepts and procedures in the preparation, processing and maintenances of payroll for approximately 33,000 employees in a $5 billion organization on a bi-weekly/semi-monthly basis. Uses tools like Kbace, Discoverer and Excel to analyze and audit payroll data to prevent errors in employee’s paychecks.  Tests all aspects of the payroll process during system upgrades.        

  • Ensures the efficient and accurate payroll processing for bi-weekly and semi-monthly payrolls in the Oracle system in alignment with all internal controls.
  • Reconcile payroll reports to identify any discrepancies during payroll processing to include using excel v-lookup functions, macros and pivot tables.
  • Resolve and notify the Payroll Manager of any issues during payroll processing.
  • Demonstrates knowledge of payroll regulations and internal policies to ensure compliance.
  • Analyze and recommend changes to operational and payroll processes and procedures to improve accuracy and efficiency.
  • Collaborate with Human Resources (HR).
  • Coordinate with Oracle support team (BSG) to process and review testing for new pay elements and upgrades to the system.
  • Manually calculate paycheck from Gross to Net to validate system updates.
  • Assist employees with questions or problems regarding their paycheck to include completion of manual checks.
  • Participate in any audit or controls/compliance issues as necessary.
  • Maintain strict confidentiality of sensitive information.
  • Report required data to the Bureau of Labor Statistics.
  • Produce payroll reports for other departments.

Education

•             High School diploma or GED required.

•             Bachelor’s Degree in Business Administration, Accounting or Finance preferred.

•             Certified Payroll Professional preferred

 

Required Credentials, License, and / or Certifications

CPP preferred

 

Experience & Knowledge:

•             Minimum of 5 years of experience administering the complete payroll process which includes generating, analyzing, and reconciling payroll reports.

•             2 year working knowledge of Kronos and Oracle HR/payroll systems and interface experience preferred

•             Thorough knowledge of advanced principles and practices of payroll accounting and financial record keeping required.           

•             Must be detail-oriented and organized, with good analytical and problem solving ability. 

•             Demonstrates strong interpersonal, verbal and written communication skills.

•             Must have strong PC skills utilizing analytical tools and in particular, strong Excel skills to include macros, v-lookup and pivot tables.

•             Ability to function independently and as a team player in a fast-paced environment required. 

•             Strong work ethic required.

 

Special Skills & Equipment Knowledge:

•             Demonstrated ability to use PCs, Microsoft Office suite, and general office equipment (i.e. printers, copy machine, FAX machine, etc.) required.

•             Advanced knowledge of Word and Excel to include v-lookup, pivot tables and macros required

•             Excellent report creation skills required.

•             Experience with time and attendance timekeeping system(s) required.  Kronos experience preferred.

•             Oracle or HR/PR experience preferred.
