Institute, WV 25112Is seeking applicants, for the position of: Administrative Assistant Planning & Advancement 

The Administrative Assistant will serve as part of an integrated Advancement team dedicated to supporting West Virginia State University’s mission by engaging alumni, friends, and organizations in active support of the University. The Administrative Assistant provides support for the University’s programs in Alumni Relations and Development.

 

The Administrative Assistant reports to the Assistant Vice President for University Advancement and is a member of the University Advancement Office. Some evening and weekend work is required. Candidates of diverse background are encouraged to apply.

 

Duties:

·       Perform general office functions including mail and email correspondence, answering phone, copying and scanning documents, doing mailings, scheduling meetings and making travel arrangements. Serve as receptionist for East Hall.

·       Support the Director of Alumni Relations by responding to phone calls and email messages, processing event registrations, processing memberships in the National Alumni Association and its chapters, supporting social media activity, and assisting with the preparation and execution of programs and events.

·       Assist with Development activities including phonathon, WVSU Day of Giving, Giving Tuesday, Black and Gold, F2Q, preparation of proposals and special events.

·       Prepare gift acknowledgement letters for signature and mailing.

·       Update records in The Raiser’s Edge database as needed, including address updates, changes in status, addition of Class Notes for State Magazine, biographical information and engagement with the University.

·       Serve as backup for processing gifts through NetCommunity and The Raiser’s Edge database.

 

Prerequisites/ Education:

·       A minimum of a bachelor’s degree in office administration, and/or at least 2 years of experience in similar secretarial position requiring discretion and independent judgment. Or a minimum of a high school/GED plus 4 years of directly related fulltime work experience, at the appropriate level of responsibility

·       Proficiency with Microsoft Office Suite products.

·       The ideal candidate will possess strong interpersonal and written communication skills, experience with relationship management databases, and the ability to handle long-term detail-oriented projects.

·       Employment contingent upon successful completion of a criminal background check must possess a valid driver’s license.
