King County's Office of Risk Management Services (ORMS) is seeking an organized, process-focused individual to join our team in an exciting Career Service (Regular) assignment. This Administrative Specialist III position is responsible for providing customer service to the public, administrative support to office staff and will participate in the claims management process for the County.

This position will be located in a "hybrid" environment working onsite in downtown Seattle and remote/telecommute.  When onboarding and training, work will be primarily performed onsite.

This recruitment may also be used to create an eligibility pool for future Career Service and temporary vacancies in this classification in the next six months.

Job Duties

  • Set-up tort and recovery claims, create invoices from reports, read and summarize claimant statements, and handle sensitive and confidential information appropriately;
  • Analyze, research, and audit claims information including generating reports. Manipulate and analyze large data sets;
  • Perform financial duties including payment plan set-up and management, serve as back up for processing Accounts Payable and Accounts Receivable transactions, such as making deposits and paying bills or settlements;
  • Suggest improvements to claims system administrator regarding system work flow and performance. Test modifications to ensure they work as intended.
  • Handle calls for public records requests and initiate requests in the public records system.
  • Provide customer service with limited guidance to internal clients and the general public, this includes regular handling of difficult situations requiring tact, discretion, and diplomacy in a professional manner;
  • Distribute workload among team, monitor completion of work and communicate well with team members to work effectively together;

Experience, Qualifications, Knowledge, Skills

  • Have a background in providing high level administrative support or any combination of education and experience.
  • Thrive independently with little supervision and are skilled in working collaboratively as part of a team; 
  • Can provide excellent customer service while managing difficult situations on a daily basis;
  • Have experience and are comfortable working with large amounts of data, using multiple databases with ease and working with a wide range of clientele;
  • Regularly take initiative and implement process improvements while holding yourself accountable for producing timely, high quality work under tight deadlines and maintaining composure;
  • Have effective communication and interpersonal skills, including the ability to communicate effectively in writing with members of the public;
  • Are comfortable using and learning database and Microsoft Office tools in daily work;
  • Embrace and incorporate equity and social justice principles and perspective into your work.

Employees must reside in WA state and within a reasonable distance to their King County worksite to respond to workplace reporting requirements.  There will be situations where the employee is required to report to a County worksite.  Please note that when an employee conducts work that is likely to bring them in contact with another individual, safety precautions are required by the department in alignment with the Public Health Directive from the Seattle & King County Public Health Officer.
