SCOPE OF ROLE

Reporting to Supervisor, Onboarding, the Coordinator, Onboarding & Talent Acquisition has two main responsibilities: 1) Onboarding - coordinate the pre-employment and onboarding processes for new employees and 2) Talent Acquisition – provide candidate interview scheduling support to the Talent Acquisition Specialists.  You will provide a high level of internal and external customer service to candidates, hiring managers and other HR team members. The Coordinator, Onboarding & Talent Acquisition acts as a subject matter expert for all activities related to onboarding & interview scheduling demonstrating accountability for daily tasks.

 HOW YOU’LL SUCCEED :

  • Onboarding:

    • Initiate and manage individual onboarding workflows for each candidate utilizing the applicant tracking system and in-house developed electronic tools; includes management of third-party background check vendor and candidate responsiveness to requests.
    • Facilitate the new hire’s Onboarding appointment; process and monitor results for state background check requirements (BCI/FBI), collect necessary paperwork, and communicate process next steps.
    • Coordinate new hire orientation including: pre-orientation communications to new hires, managers and stakeholders, ensuring completion of new hire on-boarding documents, notifying IT to initiate provisioning process, ordering business cards and partnering with the Education & Training team for a smooth hand off on orientation day.
    • Enter new hires into the Employee Record Management system; both the Onboarding Gateway and Core.
    • Enter and process all new hires into E-verify utilizing integration with Onboarding systems; follow-up on any non-compliance results in partnership with the HR Manager.
    • Liaise with the Occupational Health team to ensure new hire requirements are met, partner closely with the team for Onboarding appointments.
    • Liaise with the Credentialing & Provider Enrollment teams to ensure new hire requirements are met.
    • Coordinate compliance training & certification class assignments per new hire position requirements.
    • Prepare simple tracking reports related to onboarding/orientation updates for hiring managers and other HR team members.
    • Utilize applicant tracking system to maintain candidate data and reporting.
    • Process reference checks as needed.
    • Ensure secure electronic new hire document storage.
    • Upload completed new hire documents into Employee Record Management system.
    • Manage I-9 process, record retention and facilitation of annual audits.

     

    Talent Acquisition:

    • Provide timely and accurate interview scheduling support while reinforcing a high quality candidate experience for Talent Acquisition team.
    • Ensure all interview materials are collected from the interview team and filed within the appropriate filing system.
    • Create, update and post job requisitions for positions in Applicant Tracking System assigning appropriate Talent Acquisition Specialist as determined by the department Director or Manager, Talent Acquisition.
    • Provide support on the various Talent Acquisition reports; through the applicant tracking systems, LinkedIn/Indeed usage reports, etc

     

    General:

    • Perform other various administrative responsibilities related to Onboarding and Talent Acquisition.
    • Utilize effective communication and follow-through when interacting with candidates, hiring managers and process stakeholders for Onboarding and Talent Acquisition related tasks.
    • Maintain confidentiality and demonstrate discretion while executing all Talent Acquisition and Onboarding processes.
    • Comply with all agency policies and procedures.
    • Maintain all aspects of HIPAA, promoting patient confidentiality and right to privacy.
    • May be required to perform remote services as determined by Signature Health.
    • Adherence and completion of compliance training provided by Signature Health.
    • Responsible for and completes all productivity/documentation requirements.
    • Participate in all assigned staff meetings and staff development programs.
    • Demonstrate appropriate attendance and punctuality in adherence with Signature Health policies.
    • Other duties as assigned.

 KNOWLEDGE & EXPERIENCE :

  • Bachelor’s Degree in Human Resources, Business Administration, Healthcare or related field is preferred.
  • Associates Degree is required.
  • Minimum 1- year previous experience working in Talent Acquisition, Human Resources or Other Administrative field required.
  • Previous experience working in the healthcare field preferred.
  • Experience working in Microsoft 365, Outlook, and Excel required.
  • Experience working within an applicant tracking system preferred.
  • Excellent project management, writing, and oral communications skills.

WORKING CONDITIONS :

  • Work is normally performed in a typical interior/office/clinical work environment.
  • While hours of operation are generally standard, flexibility to work evenings and extended hours may be required.
  • Requires periods of sitting, standing, telephone, and computer work. 
  • Hearing: adequate to hear clients or patients in person, over the telephone or through telehealth technology.
  • Speaking: adequate to speak to clients or patients in person, over the telephone or through telehealth technology.
  • Vision: Visual acuity adequate to perform job duties, including reading information from printed sources and computer screens.
  • Physical effort required: occasional lifting and carrying items weighing up to 15 pounds, unassisted.
  • Possible exposure to blood borne pathogens while performing job duties.
  • Frequent bending, reaching, and repetitive hand movements, standing, walking, squatting and sitting, with some lifting, pushing and pulling exerted regularly throughout a regular workday.
  • Sufficient dexterity to operate a PC and other office equipment.
