Summary

 
We have a Term Limited Temporary/special duty Administrative Staff Assistant position for the COVID-19 Vaccination Team within the Communicable Disease Epidemiology and Immunization Section (CD IMMS) at Public Health – Seattle & King County. This position will provide organizational and clerical support in a fast-paced work environment to Public Health’s COVID-19 Vaccine Program.

Job Duties

  • Provide organizational and administrative support to Public Health’s COVID-19 Vaccine Program within the Prevention Division’s Immunizations section.
  • Gather information, compile notes, and provide key updates from partner calls, webinars, and guidance documents.
  • Report program updates during internal workgroup meetings
  • Maintain and organize documentation on Microsoft Teams.
  • Schedule meetings with internal workgroups and external partners.  Coordinate preparation of agendas, meeting notices, and meeting notes.
  • Manage vaccine program email inbox, responding or assigning emails for response.
  • Support recruitment, hiring, onboarding and offboarding for program staff
  • Supervision of program administrative specialist 
 

Experience, Qualifications, Knowledge, Skills

  • Experience performing a variety of complex duties of moderate difficulty, in positions which involved independent judgment and extensive knowledge of policies, procedures and responsibilities in an office setting;
  • Demonstrated strong organizational skills;
  • Ability to deal with ambiguity and effectively cope with change and shifting schedules; can adapt comfortably to changes in tasks and work environment;
  • Learns quickly when facing new challenges and is open to change; enjoys the challenge of unfamiliar tasks; open to finding new solutions and uses good judgment and quality decision making;
  • Skilled in attentive and active listening and has patience to hear out others;
  • Establishes priorities and uses time management, self-direction, resources and tools to complete multiple tasks simultaneously with extreme accuracy;
  • Skilled in creating, editing and proofreading professional documents with accurate grammar, spelling and formatting with high attention to detail. Articulates complex and technical messaging in email and documents;
  • Provides excellent customer service skills and maintains a professional demeanor at all times. Uses tact and discretion in difficult communications;
  • Understands the importance of integrity, trust and confidentiality, and accountability in the workplace;
  • Demonstrated proficiency with Microsoft Office products: Word, PowerPoint, Excel, Outlook, SharePoint, and Teams
  • Commitment to equity and social justice principles and practices.
  • Demonstrated oral and written communication skills, including the ability to work with people of diverse backgrounds.

 Desired Qualifications:
  • Knowledge of public health terminology or demonstrated ability and experience learning other professional terminology;
  • Experience with vaccine-preventable diseases and disease control measures;
  • Bachelor’s degree in public health, or related field;
  • Experience in creating technical documentation; and
  • Experience with supervising and mentoring others

Who May Apply
This position is open to all qualified candidates. We are currently recruiting for a full time Term Limited Temporary (TLT)/Special Duty Assignment (SDA).  

Work Schedule
The individual selected for this position will have a flexible work schedule typically between the hours 8:00 a.m. to 5:00 p.m. Monday through Friday. This position FLSA Non-Exempt and is eligible for overtime.
 
Work Location: 

The home base for this position is Chinook Building located in Downtown Seattle, Chinook Building, 401 5th Ave., Suite 1300, Seattle. This position will predominantly telecommute.   


Telecommuting
The work associated with this position will be performed predominantly through teleworking with reporting to office location and to meetings as needed. Employees will have access to shared workspaces at various King County facilities. Employees must reside in Washington state and within a reasonable distance to their King County worksite to respond to workplace reporting requirements.
 
Employees will be provided with a County issued laptop and must maintain a workspace with an internet connection (access may be supplemented in some situations) where they can reliably perform work and remain available and responsive during scheduled work hours. Please note that when an employee conducts work that is likely to bring them in contact with another individual, safety precautions are required, including the wearing of masks in some situations. King County is doing its part to reduce the spread of COVID-19 and remains committed to reducing our carbon footprint.
