The Coordinator for Limited Entry Admission, in collaboration with the Dean(s), provides leadership to the Office of Limited Entry Admission and the College at large. Primary responsibilities include providing advising to pre-program students and guiding them through the limited entry application process, assisting students in making informed decisions regarding career goals and providing oversight to student selection functions. Additionally, the coordinator is responsible for policy and procedure development and implementation; budget oversight; networking with affiliated groups; participating in recruitment activities and monitoring progress toward achieving established objectives and deadlines; and assessment of the effectiveness of provided services.

Duties/Functions

Develop and administer a comprehensive program for limited entry admissions:

  • Develop and provide effective advising to pre-program students applying to limited entry programs.
  • In collaboration with Dean and Program Directors, develop content and conduct regularly scheduled orientation sessions for potential limited-entry program students.
  • Serve as the primary resource for information about limited-entry programs by phone, email or other modes of communication.
  • Assist students in making informed career decisions both pre and post selection.
  • Participate in college or community-based recruitment initiatives as requested to provide information and promote services to students.
  • Employ excellent communication and customer service skills.

Develop, publish, and administer policies/procedures for limited entry admission:

  • Develop, implement, review, and revise policies and procedures relevant to advising and admission functions.
  • Direct annual review, revision, and timely publication of all advising materials and other recruitment resources.

Supervise employees and provide oversight to department budget:

  • Coordinate the hiring, professional development, and evaluation of unit staff and work study students.
  • Provide operational oversight to the area budget.
    *Develop and execute the unit’s annual planning document to include budget development.

Provide oversight to the admission process ensuring integrity and productivity

  • Ensure that required records and documentation for the admissions process are completed and securely maintained in accordance with college policy.
  • Review selection results to ensure process integrity.
  • Coordinate tracking and assessment of office initiatives and produce relevant reports to document productivity and improvement.

Education Required

· Bachelor’s degree from a regionally accredited post-secondary institution.

Education Preferred

· Master’s degree from a regionally accredited post-secondary institution.

Experience Required

· 3 years of experience in academic advising, college admissions and/or career development in a post-secondary institution

· Experience in conducting large group presentations

· Proficiency in Microsoft Office Suite software to include, Word, Excel, Outlook and Powerpoint

· Experience with an integrated student information system (e.g., Colleague, Banner, etc.)

· Experience with supervision of employees

· Experience with budget management

Experience Preferred

· More than 3 years of experience in academic advising, college admissions or career development in a post-secondary institution

· Experience in a community college environment

KSA Required

· Demonstrated ability to acquire, evaluate, organize, maintain and communicate data.

· Ability to provide leadership and vision for the role and use of information, data and research in planning and decision-making.

· Strong positive interpersonal skills including the ability to work collaboratively, build effective working relationships, work effectively with many college constituents, be a team-oriented leader, and utilize critical thinking skills.

· Excellent communication skills (verbal and written) including communication clarity and frequency, effective listening and providing feedback.

· Excellent time management, problem solving techniques and use of professional judgment in a complex team environment.

· Values diversity and possesses an understanding of multicultural and cultural competencies; ability to work effectively with faculty, staff, students, families and other customers from different backgrounds.

KSA Preferred Department/Job Specific Requirements

The following compliance training is required and must be completed within the first 30 days of hire with annual refresher training thereafter:

Physical Demands

Typical departmental work hours are from 8:00 am to 6:00 pm Monday through Thursday and 8:00 am to 5:00 pm on Friday. Summer hours vary. A flexible work schedule will be determined by the supervisor as required by the workload and needs of students in the Division. Some weekend work may be necessary.

Must be able to maneuver independently among offices, buildings, campus locations, and off-site as required to complete job duties.

Physical requirement include those for general office employment, such as sitting; standing; keyboarding, and light lifting (up to approximately 25 pounds). Sitting for prolonged periods for computer work may be required.
