This position is 40 hours per week, weekend rotation, located in Greenfield, MA.

Summary: 

The pharmacy purchasing specialist performs order administration utilizing the pharmogistic carousel perpetual inventory system. The purchasing specialist is responsible for maintaining adequate and appropriate levels of pharmaceuticals for the inpatient pharmacy at Baystate Medical Center and supports the inpatient pharmacies through out Baystate Health as needed. The purchasing specialist monitors market conditions that may include backorders to maintain adequate supply for patient needs. In addition the purchasing specialist is responsible to identify and coordinate drug recalls. The incumbent will work with the pharmacy business manager to maintain appropriate par levels and will ensure purchases are compliant with the hospital 340B program utilizing the most cost effective contracts available.
 

Job Responsibilities: 

1) Assure efficient operation of the perpetual inventory system to maintain appropriate par levels, maintain adequate inventory for patient need, and produce appropriate inventory turns as determined by pharmacy administration.

2) Adjust par levels and re order as necessary. Add, change, or delete ordering information in the system to maintain appropriate inventory levels and to purchase inventory on the most cost effective contracts. Collaborate with pharmacy manager to identify purchasing trends such as monitoring high cost medication spend and appropriate inventory levels.

3) Monitor and coordinate drug recalls for all areas that receive medications from the inpatient pharmacy in a timely manner.

4) Monitor drug supply chain to respond to back orders and market shortages. Collaborate with pharmacy business manager to plan and respond to shortages in the market. Work with vendors, suppliers, and wholesalers to mitigate shortages whenever possible.

5) Support purchasing team and pharmacy on year end physical inventory planning and execution.

6) Fill requisitions from BFMC and office practices.

7) Support the annual flu program by coordinating with health services and pharmacy leadership to ensure adequate flu vaccine supplies.

8) Maintains work are in a clean and orderly condition.

10) Provides critical and timely information between the external vendor and Baystate Health end-users for discrepancies in regards to purchase order information. This includes rush orders for next day, items on back order, price/contract errors which could impact the delivery of patient care.

Collaborates daily with internal purchasing colleagues by providing critical feedback on product movement and availability.
Provides critical and timely information between external vendors and Purchasing Agents/Inventory Control.
Works closely with BH Accounts Payable department for accurate invoicing data (pricing).
Provides detailed information regarding all product backorders/recalls to specific Purchasing contacts.
Resolves problems and coordinates exchange of information using sound judgment and excellent communication/interpersonal skills

11) Consistently adheres to confidentiality, the Baystate Operating Principles, and the Baystate Best Service Standards as a member of the purchasing team. Ensures that all departmental policies and procedures are effectively and efficiently carried out

12) Manages assigned vendors, primarily involves basic knowledge of product lines you are supporting. This includes all order placement associated with your assigned vendors.

13) Accurately compounds, pre-packages, and re-packages medications, including labeling for bulk solid /liquid dosage forms according to department policy/procedure. Accurately prepares and distributes controlled substances according to department policy/procedure.

14) Performs aseptic compounding of parenteral admixtures and other sterile dosage forms per USP797. This includes the practice of aseptic technique, proper procedures for preparing all types of parenteral admixtures (including chemotherapy or other specialty solutions), preparation of the label and any control records, the proper technique for visual inspection of parenteral solutions, and the documentation of quality control. Employee must also be capable of performing the calculations required for the usual dosage determinations and solutions preparation using weight and volume equivalents in both the metric and apothecary systems.

15) Maintains a working knowledge of the general chemical and physical properties of drugs handled in the pharmacy department. This includes identifying medications that are light sensitive, require refrigeration, are caustic, or poisonous. Employee is also able to use reference books to locate stability information or material safety data sheets.

16) Operates automated technology (Pyxis, Pharmacyonesource, computers, etc.) in accordance to policy, procedures and manufacturing instructions.Appropriately utilizes the automated dispensing machines to facilitate medication dispensing in accordance with BH policy and procedure.

17) Dedication to Quality Improvement Initiatives: Accurately refills, checks, locks and stickers code carts according to policy/procedure. Functions in accordance to the operational procedures specific to the various satellites and shifts and is familiar with the various specialty areas and procedures (Chemotherapy, ORs, etc; Participates in the training and/or orientation of new pharmacy employees. Participates in the BH staff development program – Performance Evaluation (PE) and works to meet departmental, professional, and personal goals. Maintains a working knowledge of medication error prevention methods and handling/preparation techniques for high-risk or high-alert medications, including LASA medications. Understands population-specific preparation procedures (geriatric, adult, pediatric, and neonatal dosage forms and products)

18) Customer Service & Teamwork: Interacts effectively with other members of the department and health care team on a regular basis. Maintains attentiveness to the rights of patients. Maintains confidentiality of patient information. Triages orders, determines priorities, processes orders and notifies the pharmacist as appropriate. Receives and refers incoming calls for the department, handles pharmacy window.

Required Work Experience: 

1) 1 year experience as a Pharmacy Technician, Pharmacy Biller and Pharmacy Inventory Control

2)  Working knowledge of hospital CDM/MMF system
