Summary: 


Assists the program director in managing the residency education programs by ensuring that regulatory and accreditation standards are met, educational activities that support the curriculum are established, departmental policies are created and enforced, and recruitment strategies are implemented so that a highly successful residency program is maintained.  Manages the coordination between attending physicians, fellows, residents and medical students. Manages residency, student, and fellowship programs, supports accreditation processes, including coordinating and actively participating in site visits. Supervises support staff, maintains program files and records, and maintains open lines of communication.  Demonstrates professionalism, problem-solving, results oriented work habits, and decision making regarding day-to-day residency, student, and fellowship issues.  Upholds the mission, vision, values, and customer service standards of The MetroHealth System.  

 

 

Responsibilities:


1. Contributes to patient safety by supporting the System-wide programs and policies addressing a safe environment for patients and the reporting of safety concerns to the appropriate individuals.


2. Assists with the resident recruitment processes, including the initial screening, examining, comparing, and processing of applications; evaluate residency applications for completeness; notify applicants of decision to interview and schedule interviews; correspond with applicants; organize interview day; gather interview summary information, and submit NRMP rank order lists. Manages Electronic Residency Application System (ERAS). Attend residency fairs.


3. Develops and maintains departmental policies and procedures that are consistent and compatible with those adopted by the hospital and institution-specific policies developed by the GMEC, including developing new policies and procedures in response to new or revised policies issued by regulatory, accreditation, governing bodies, or program director that align with institutional policies and procedures. Assist in the development and maintenance of curriculum manual.


4. Develops and creates resident and program evaluations as well as reports such as trending evaluation data over time for individual residents, rotations, and the program. Creates evaluation reports needed to identify areas for program improvement and once educational interventions have been designed and implemented by the program director and faculty, tracks data demonstrating effect of interventions. Creates timely reports on delinquent evaluations and initiates appropriate department-specific actions. Oversees evaluation assignments.


5. Maintains accurate records of resident prior training, resident rotations, resident leaves of absence, resident vacation, etc to ensure accurate reporting via the MetroHealth Medical Center census process to CMS. Follows all CMS guidelines for reporting.


6. Maintains Web-based accreditation surveys for program, collecting and collating appropriate information. Compiles and submits accurate reports to certifying bodies and other professional organizations, as required. Ensures that AMA/FRIEDA (or other similar databases) and WebADS accurately reflects residency program information. If applicable, ensures TIVRA (or other similar Osteopathic databases) accurately reflect residency program information. Updates and maintains MetroHealth web pages relevant to the residency program.


7. Plans and manages the day to day activities of the education programs including rotation schedule development, conference scheduling, evaluation process completion, faculty meeting preparation and other activities as requested. Organizes internal educational conferences, schedule speakers, monitor attendance, and create reports relevant to these. Coordinates resident and student access to telecommunications equipment. Ensures completion of procedure logs, patient logs and portfolio components.


8. Prepares credentialing file for new appointments and for re-appointments in accordance with established GME & Joint Commission guidelines.


9. Oversees medical student rotation planning, scheduling, application, evaluation and implementation under the direction of the medical student director.


10. Oversee rotator (affiliate physician, visiting resident, student) application, scheduling, evaluation and implementation under the direction of the program director.


11. Jointly with the program director ensures that the program meets the current standards established by regulatory and accreditation bodies, ensuring compliance with all regulatory standards. Maintains all essential documents required for program accreditation. Oversees the planning and implementation of faculty development activities. Jointly with the program director and faculty assists in planning, developing, and implementing residency improvement projects. Schedules, records and prepares follow up reports for departmental educational meetings. Plans and schedules annual program review.


12. Manages and coordinates accreditation site visits, including preparation of site visit documentation and actively participates in site visit. In conjunction with the program director, helps prepare the program, faculty, and residents for site visits. Prepares documentation and participates in internal reviews and other institutional reviews.


13. Plans, organizes and schedules department-specific new resident orientation. Plans, organizes and schedules departmental graduation. Assist with the planning and organization of resident and educational social events, including visiting professors and invited lecturers. Orders graduation certificates. Prepares residents for exit interview.


14. Proctors annual resident in-service examinations. Registers residents for in-service and other exams as required.


15. Assures accurate verification of residency training; prepares letters of verifications for hospitals, medical boards and other entities.


16. Maintains attending, resident and student call schedules


17. Supports the director in education research activities


18. Performs other duties as required.

 

 

Qualifications:


Required:
Bachelor's Degree with one year experience in medical student and/or resident program support, other training education programs, or related program coordination experience.
OR Associate's Degree with three years of year experience in medical student and/or resident program support, other training education programs, or related program coordination experience.
OR HS Diploma or passage of a high school equivalency exam with five years of year experience in medical student and/or resident program support, other training education programs, or related program coordination experience.
Demonstrated proficiency with Microsoft Office products.
Proficient in multi-tasking, problem-solving, prioritizing, organizing, and planning.
Demonstrated organizational, interpersonal and communication skills.
Must be comfortable working in a fast-paced environment, requiring high mobility and physical activity.
Adaptability and flexibility to changes in work environment are essential.
Available to work occasional weekends and evenings as needed.

Preferred:
Bachelor’s Degree in a related field.
Knowledge of applications and processes relevant to residency programs, including databases; resident application services; resident matching programs; resident licensure; visa regulations; accrediting bodies (e.g., ACGME, CMS, Joint Commission, OSHA, and/or other discipline-specific accrediting and regulatory bodies).
Knowledge of institution-specific accreditation requirements.
Demonstrated proficiency with content management systems and/or web page development.
Notary Public Commission.

Physical Demands:
May need to move around intermittently during the day, including sitting, standing, stooping, bending, and ambulating.
May need to remain still for extended periods, including sitting and standing.
Ability to communicate in face-to-face, phone, email, and other communications.
Ability to read job related documents.
Dexterity to use a computer and related accessories.
May involve some travel between MetroHealth, Community Health Centers, and Case Western Reserve University.
