Administrative Assistant

The Housing Authority of the City of Bradenton, FL has a position open for an Administrative Assistant.

Example of Duties:

 Answers all incoming operator calls and assists or transfers to the appropriate person.

 Greets visitors coming to office and assists as needed.

 Responsible for processing all incoming and outgoing mail including mass mailings.

 Ensures that all public notices are posted / advertised timely and accurately.

 Prepares reports, memos, letters, and other documents using word processing, spreadsheets, databases or presentation software.

 Assists the Executive Director and staff as needed with clerical, administrative and secretarial tasks.

 Tracks and records employee attendance and leave use and maintains sign in log book.

 Maintains all board meeting binders / meeting minutes / resolutions.

 Assembles and maintains all tenant and landlord files; set up new landlord for direct deposit.

 Maintains agency master calendar and agency training calendar.

 Organizes and maintains the agency safety committee including meetings and minutes.

 Mails monthly statements to all public housing residents and scans and emails all landlords monthly direct deposit statements.

 Delivers and files monthly landlord and tenant statements.

 Maintains all PH resident, HCV participant and HCV landlord records and documents.

 Prepares and submits monthly reports for all areas of responsibility.

 Performs other related work as required.

Desirable Knowledge, Skills and Abilities:

Must have a working knowledge of a modern office operations and modern office equipment (facsimile, copier, scanner, mail machine, recorders); must have basic PC and software skills; must be proficient in word processing and data input; must have experience operating a multiline phone system. Should have the ability to establish and maintain effective working relations with clients, staff and the public; should be bi-lingual in Spanish and English.

Desirable Training and Experience:

Must be a high school or vocational school graduate and have a minimum of three years’ experience in receptionist, administrative assistant or secretarial duties. Experience working in a non-profit or social service agency is a plus. An appropriate valid Florida driver’s license is required.
