Summary: 

Manages daily operations of assigned site(s), ensuring quality, cost-effective, and efficient work flows and processes between the clinical and operational disciplines, resulting in a positive patient experience. 

Plans, coordinates and evaluates, in conjunction with other stakeholders, all site staff.

Responsible for the staffing for patient care delivery in the ambulatory clinics, including management of work assignments, OT, budget and ratio targets through assigned staff, float requests and flexible scheduling.

Accountable for implementation and sustaining operations of current and new initiatives that impact the growth and development of site and service lines.

Assists with enforcing Joint Commission standards at site(s).

Ensures that staff are aware and complying MetroHealth Patient care practices, clinical quality initiatives, and human resources policies.

Implements Ambulatory site operations initiatives, standards and professional development for all personnel under their direction.

Serve as a role model, and an on-site resource person for patient or practice concerns.

Works collaboratively with service line and support staff on deployment, onboarding and in identifying opportunities for new or revised programs to ensure access, service line growth as well as an effective, high quality, skilled and motivated workforce.

Responsibilities:

1) Oversees, supports and makes contributions to patient safety by:

-Providing a safe environment for patients.

-Identifying and correcting root causes of errors.

-Implementing systems to prevent errors.

-Subscribing to the principles of responsible reporting of adverse occurrences, near misses, and safety concerns.

- Providing evidence-based care.


2. Ensures the efficient and effective daily operation of the assigned area(s) by:

- Implementing departmental policy, protocols and procedures.

- Ensuring availability and operation of necessary equipment and supplies for patient care.


3. Ensures quality and effectiveness of practice:

- Decisions and actions are based on ethical principles and fosters a non-discriminatory climate in which care is delivered in a manner sensitive to socio-cultural diversity.

- Ensures quality of care to patients and families represents “best in class.”

- In collaboration with staff, establishes annual unit goals and strategies for goal attainment.


4. Promotes customer satisfaction of internal and external customers.

- Manages customer feedback according to policy.

- Maintains and develops customer service initiatives by using patient satisfaction data results to improve practice.

- Rounds on patients/families on a regular basis. Submits Rounding Reports on scheduled basis.

- Reinforces hospital customer service mission to staff.

- Participates in the resolution of patient issues; implements appropriate operational changes that will promote consumer/patient satisfaction.


5. Develops and implements recruitment and retention programs for staff.

- Establishes performance expectations and provides ongoing and formal reviews.

- Monitors and evaluates staff satisfaction and implements action plans to address staff issues.

- Creates a climate which supports professional development by actively seeking out professional growth opportunities.

- Promotes professional certification.

- Develop and implement effective educational programs designed to assist the staff in the progression from novice to expert in the care of the patient and family.

- Provides leadership, direction and guidance to assigned staff.

- Coordinates and maintains the required training and skills of staff.

- Identifies, develops and retains new talent.


6. Communication:

- Establishes effective mechanisms for communicating information with staff.

- Collaborates with other departments to create systems and problem solve ongoing issues that impact departmental/organizational goals and/or patient care delivery.

- Ensures staff competency in caring for a culturally diverse patient population.


7. Financial administration:

- Incorporates best practices to increase productivity and cost efficiency.

- Develops creative approaches to practice that enhance quality patient care in a cost-effective manner.

- Utilizes productivity metrics and performance measures to drive labor utilization.

- Develops, monitors, administers nurse staffing budget.

- Approves purchases and establishes and revises inventory levels.


8. Participates in program development by:

- Assisting in the development, implementation, and evaluation of ongoing programs which ensure the delivery of quality patient care consistent with the hospital mission.

- Participating in program development proposals as requested.

- Evaluating programs to identify effectiveness.

- Participating in committees as assigned.


9. Professional Development

- Creates a culture of engagement and contribution by facilitating staff involvement in unit-based committees and problem-solving activities.

- Incorporates team building and job sculpting techniques.

- Creates a climate which supports professional development by actively seeking out professional growth opportunities.


10. Ensures the efficient and effective management of staffing and scheduling needs for ambulatory clinics:

- Based on budgeted volumes, provider schedules and Modes of Operation

- Develops reports and track mechanisms for effective resource utilization of departmental personnel and produces custom reports as requested.

- Maintains required (patient or non-patient) records, data, reports, and statistics for administrative purposes.

- Implement departmental policy, protocols and procedures.

- Acts as liaison with Nursing and Operations Leadership to analyze clinic needs, identify problems, and evaluate overall clinic performance; effect changes as needed to improve clinic services.

- Oversees and maintain position files. Approves position changes and collaborate with all ambulatory Managers on position openings to be posted.

- Oversees and trends schedule changes made in Kronos, including compliance with budgeted paid time off, out of staff hours, and scheduling targets


11. May provide manager coverage in absence of Ambulatory Managers, if needed.


12. Assists with onboarding and training process of new staff to the Ambulatory Network site.


13. Collaborates with clinical, financial, technical and operational leaders to understand business and clinical requirements by developing strong, positive relationships to create and enable positive reinforcement mechanisms that drive best practices within the Ambulatory Network.


14. Performs other functionally related duties as assigned.

Qualifications:

Required:

Possesses education and experience in Nursing or Operational leadership as demonstrated by one of the following:

All Nurses: Graduate of an accredited school of professional nursing with a Bachelor of Science in Nursing. 

 - Current registered nurse licensure in the State of Ohio.

- Two years recent management, leadership, or staffing experience in an ambulatory setting.

- Specialty Certification 

Additional Requirements: Excellent interpersonal skills along with experience in working with multi-disciplinary groups. Demonstrated proficiency with Microsoft Office Suite. Excellent critical thinking and analytical aptitude. Demonstrates strong interpersonal, verbal/written communication and delegation and problem-solving skills.

Preferred:

Master’s degree in Nursing or other Healthcare related field. Experience with a centralized nurse staffing function. Experience in planning and analysis, financial management and/or marketing experience along with the related work experience that applies to the specific practice. EPIC template management and Experience with the operation of health care computer systems. Clinical and operational experience at one or more of the following sites: Beachwood/Pepper Pike, Brecksville, Broadway, Brooklyn/OBC, Cleveland Heights, Westlake/Rocky River, West Park/West150th.

Physical Demands:

May sit, stand, stoop, bend, and walk intermittently during the day. May need to sit or stand for extended periods. Finger dexterity to operate PC keyboard. Ability to hear normal voice sounds. Ability to see computer monitor, nursing schedules, reports. Travel to sites within The MetroHealth System ambulatory network
