King County's Facilities Management Division (FMD) is seeking an Information & Records Program Manager to join our Planning and administrative Services Section. This role will work to develop and implement FMD’s records and information management program. Given FMD’s distributed staff model, and with a large majority of professional staff working remotely, it is more important than ever for FMD to promote information awareness, sharing, and understanding within the organization and to control and manage both our digital and hard copy file systems to allow for easier information access. Working under limited direction and cross-functionally with members of FMD’s various sections, this position will develop and implement systems, services, and processes to foster a shared understanding and ensure access to critical current and historical documents and digital repositories of knowledge.

Job Duties

To be considered for this opportunity, you must at a minimum, demonstrate knowledge, skill and ability to:

  • Plan, lead, and assess program activities to implement the records management strategy and roadmap 
  • Gather and analyze data, conduct research on best practices, develop programs for information management and teach and train staff on best practices
  • Create and maintain digital filing systems
  • Create, catalog, and maintain physical filing systems and provide active on-going management of the files
  • Partners with team members, IT, and inter-department customers to define records management requirements and solutions for systems containing electronic records.
  • Manage and create content for forwarding facing digital platforms (intranet/internet)
  • Builds, maintains and supports collaborative relationships with related agency functions to understand interconnections and dependencies, and influence alignment of strategic priorities 
  • Manage the current information management practices as well as create new knowledge distribution policies and practices
  • Monitors and evaluates the efficiency and effectiveness of systems and processes, and facilities related to the operation of records and information management services and procedures and evaluate impact in terms of the organizational benefits
  • Encourage the staff and workers to share knowledge effectively and efficiently

Experience, Qualifications, Knowledge, Skills

  • Experience managing and developing content hosted on SharePoint and monitoring system usage to optimize performance
  • Experience in managing either digital or physical collections of information
  • Ability to coordinate, perform outreach, and implement programs across diverse lines of business using change management methodologies
  • Ability to plan, coordinate, and execute technical and special projects
  • Experience in data gathering and analysis, report writing, and presentations
  • Recent progressive experience in records project management
  • Ability to interface successfully with diverse audiences within Facilities Management Division
  • Strong communications background, including excellent writing and oral presentation skills
  • In-depth knowledge and experience working with various types of databases
  • Expert planning skills
  • Should be able to transform the ideas of management into actionable plans and implement appropriate solutions 
  • Ability to form and maintain constructive work relationships
 DESIRABLE QUALIFICATIONS
  • ARMA or AIIM certification
  • Experience in information management
  • Experience in SharePoint 
  • Experience working with SQL server, Power BI and Office 365
