Shift: Monday-Friday, 9:00a.m.-5:00p.m. 
Regular Days Off: Saturday and Sunday (Nights and weekends may be required in emergency situations) 
Supervision Received: This position reports to the Director of Residential Life.
Supervision Exercised: This position supervises one (1) full-time Clerk IV and the student Office Assistant staff.
Salary: $65,000-$70,000 (To commensurate with education and experience) 

General Statement of Duties: The Assistant Director of Housing plays a critical role in promoting the success and well-being of residents and in achieving the goals and objectives directly related to operations in the Department of Residential Life.

The Assistant Director performs extensive work with the University's housing software package, housing selection processes, and student room changes.  The Assistant Director provides critical support, on-site response, and information on student housing-related matters both within and outside the Department of Residential Life.  The Assistant Director assists with communicating the benefits of University housing and the academic advantages of being a member of the on-campus community and works collaboratively with campus partners to promote learning communities in the halls.  

Duties and Responsibilities:
Duties include but not limited to:
Essential:

  • Support the educational mission and goals of the Department of Residential Life and the University.
  • Select, hire, train, and supervise one Clerk IV and student Office Assistant staff.
  • Become proficient with The Housing Director (housing software package) and Banner in order to understand, and maintain the integrity of, our institutional housing data.
  • Assist with all student housing selection processes, room changes, housing waiting lists, petitions for release, break housing, and those students experiencing housing insecurity.
  • Coordinate all student meal plan assignments, changes, and removal.
  • Review, update, and activate the early arrival applications and all break housing applications in The Housing Director; manage the early arrival and break housing processes each semester, and notify campus partners of students registered prior to their arrival.
  • Manage the storage, distribution, updating, and auditing of all residence hall room keys during the year.
  • Coordinate Health and Safety Inspections and the pre-closing inspections with the Residential staff.
  • Assist the Department of Residential live-in staff with the submission of student maintenance requests to the Facilities and Operations Department.
  • Coordinate the damage billing process at the end of each semester and process damage billing assessments during the academic year when necessary.  Coordinate the student damage appeals process, including reviewing and responding to each appeal; process approved refunds.
  • Coordinate the area's participation and presence at all Admissions open houses and participate in the Admissions Tour Guide annual training.
  • Maintain the Department's online presence through the University's website, the myWestfield portal, and various social media sites.
  • Act as the Department's liaison to the Student Government Association and Residence Hall Association and attend regular meetings
  • Participate in campus on-call rotation.
  • Represent Residential Life on University committees and at other functions as designated by the Director; chair and/or serve on Housing Operations committees and perform other duties as assigned.
  • Adhere to ethical and professional standards as established by the State, University and applicable professional organizations.


Requirements:

Required Qualifications: 

  • Master's degree in higher education or a related field required.
  • Three years post Baccalaureate experience in housing and/or residential life.
  • Experience with housing assignment processes and housing software programs.
  • Excellent interpersonal and communication skills.


Additional Information:

Salary:
For the majority of new employees, the minimum starting salary will apply. Specific salary for current Westfield State University employees and individuals currently working for the state of Massachusetts must be calculated individually in accordance with collective bargaining and state policies and procedures.
