SCHEDULE: Full-Time, 52 weeks, 37.5 hours per week, some evenings and weekends required            

 

GENERAL SUMMARY:

Under the direction of SAS Administration, the Customer Service Specialist will be

responsible for facilitating the enrollment of new and returning students to Springfield Public

Schools, perform other duties as required and disseminate information on the policies, procedures and practices of the Springfield Public Schools to stakeholders.

 

ESSENTIAL DUTIES & RESPONSIBILITIES

  • Process the registration of students entering the Springfield Public Schools (SPS) following the appropriate federal, state and district regulations and guidelines
  • Process address changes of students presently in the SPS, following the appropriate federal, state and district regulations and guidelines
  • Ensures the appropriate collection of required documentation for registration, including sending and receiving faxes, following the appropriate federal, state and district regulations and guidelines
  • Inform and assist enrollees with documentation required for student registrations
  • Assigns students to appropriate schools in accordance with SPS policies
  • Update database when custody changes and/or court records deem necessary
  • Disseminate accurate information regarding SPS policies, procedures, and practices to all stakeholders
  • Answer and return phone calls in a timely and professional manner
  • Read and respond to emails in a timely and professional manner
  • Prepare various communications and reports for dissemination to all SPS stakeholders
  • Work with various computer programs and applications including Word, Excel, Access, PowerSchool, and email
  • Responsible for maintaining a welcoming and efficient work environment by ensuring proper organization
  • Work in collaboration with Enrollment Manager, SAS teammates and all other SAS Center departments to support daily operations of the center
  • Provide resources and data to assigned zone schools
  • Provide all stakeholders with oral/written translation(s) as needed or required
  • Work to maintain and improve the overall internal and external image of the district, SAS, and schools
  • Perform other duties as designated by administration

 

MINIMUM JOB QUALIFICATIONS

Education and Experience

 

  • Relevant associates degree required, or educational requirement may be substituted for at least 3 years of experience in relevant field
  • Responsible for specializing in a particular function or operational effort

 

 KNOWLEDGE and ABILITIES

  • Knowledge of Springfield Public School district processes, policies and procedures
  • Knowledge of different areas of grade levels (grades, credits, and discipline)
  • Knowledge of students needs including Individual Education Plans and 504s
  • Ability to handle common inquiries or complaints
  • Ability to respond to questions from students, faculty, staff, and visitors
  • Ability to establish and maintain constructive and cooperative interpersonal relationships with staff, peers, supervisors, or managers in the work unit, as well as with staff of outside entities and other individuals, as applicable to the essential duties and responsibilities
  • Ability to provide positive and effective customer service
  • Ability to adapt to and accommodate new methods and procedures
  • Ability to work independently or as a member of a team
  • Ability to apply listening skills, work under pressure, address conflict and solve problems
  • Ability to read, analyze and interpret standard, policies, procedures and regulations
  • Ability to effectively present information using attention to detail and accuracy
  • Ability to exercise good judgment, set priorities and meet deadlines
  • Ability to operate standard office equipment, such as a computer keyboard, monitor, copies, scanners, and telephone
  • Ability to interact with and support members of diverse populations

PHYSICAL REQUIREMENTS

 

Exerting up to 10 pounds of force occasionally, a negligible amount of force frequently, and/or or constantly having to lift, carry, push, pull or otherwise move objects, including the human body.

 

WORKING ENVIRONMENT

 

This position requires employee be in an office or similar indoor environment.  Employee is often exposed to individuals who are rude or irate and sometimes exposed to individuals with known violent backgrounds or communicable diseases.

 

ADDITIONAL INFORMATION

  • Bilingual ability (written and oral) a plus
  • Willing to work a schedule which coincides with the operational needs of the Parent and Community Engagement Center
  • Overtime is required during busy season(s)
