Summary: 

Summary:
Provides high-level administrative support for an assigned Vice President, Physician Executive, Executive Director, Service Line Administrator and/or Chairperson. Ensures efficient handling of the communications and record keeping requirements of the office. Participates and coordinates in special projects and other activities. Compiles and analyzes information and statistics for identification of conditions worthy of management awareness. Acts as liaison for assigned leader. Upholds the mission, vision, values, and customer service standards of The MetroHealth System.

 

 

Responsibilities:

Responsibilities:
1. Provides high-level administrative support by:
a. Planning and maintaining the daily and long-term appointment schedule(s) to ensure the most effective and efficient use of time.
b. Composing correspondence, reports, memos, and minutes.
c. Ensuring that documents are signed and routed appropriately.
d. Dealing discreetly with large amounts of sensitive and confidential information.
e. Responding to calls from various sources and determining the urgency of the situation. Making appropriate referrals for the handling and resolution of such matters.
f. Coordinating travel arrangements.
g. Maintaining required records and files and compiling required statistics.
h. Receiving, opening, sorting, and distributing mail.
i. Ordering and maintaining office supplies.
j. Preparing presentations utilizing various applications, such as Microsoft Office.
k. Performing timekeeping and related payroll functions.

2. Supports the financial management of the office. Monitors departmental budget; tracks expenses, invoices, and purchase orders. Provides notifications of potential budget issues. Coordinates expense reimbursements and check requests. Researches and resolves any related discrepancies.

3. Coordinates special projects, meetings, and other activities independently or in cooperation with other groups.

4. Performs research and fact-finding for assigned leader. Compiles information, summarizes findings, and prepares for review by leadership.

5. Acts as a liaison between leader and multiple groups, such as direct reports, System departments, and other leaders.

6. May provide support with credentialing, and faculty and resident recruitment, relative to assigned area.

7. Interacts professionally with all internal and external customers using strong customer service skills.

8. Attends meetings as required and participates on committees as directed.

9. Maintains professional growth and development through continuing education courses, professional organizations and seminars, reading current literature, and maintaining professional contacts in the community.

10. Displays sensitivity to and understanding of various cultural, ethnic, racial, and socioeconomic backgrounds.

Required:
High school diploma or passage of a high school equivalency exam.
Progressive administrative support experience or experience performing duties relevant to the position.
High level of proficiency with Microsoft Office products (i.e. Word, Excel, PowerPoint).
Excellent interpersonal, written, and verbal communication skills.
Experience with information gathering and information distribution.
Ability to perform complex tasks and prioritize multiple projects.
Appropriate corporate decorum, tact, and social sensitivity necessary to the status of the position.
Ability to work both independently and collaboratively
Ability to interact effectively with a wide range of cultural, ethnic, racial, and socioeconomic backgrounds.

Preferred:
Bachelor's Degree or completion of college level coursework
Experience providing administrative support to a senior leader.
Experience in a healthcare setting.

Physical Demands:
May need to move around intermittently during the day, including sitting, standing, stooping, bending, and ambulating.
May need to remain still for extended periods, including sitting and standing.
Ability to communicate in face-to-face, phone, email, and other communications.
Ability to read job related documents.
Ability to use computer.
