Position Summary/Essential Duties: 

Oversees daily functioning of all operational systems in office. Ensures implementation and adherence of business policies and procedures for the daily operations of the office.

Sets daily operational/patient priorities, evaluates daily work flow and assigns work. Ensures that duties are carried out according to UHMSO policy and procedures. Direct supervision of all levels of office support staff. Establishes work priorities.  Schedules staff and ensures coverage of support services within the practice, approves overtime. Approves vacation and time off requests of practice related staff. Conducts or coordinates regular office staff meetings. Kronos Timekeeper. Approves vacation and time off requests.

Orients and trains new and current staff on office protocols and job responsibilities. Coaches staff to maximize patient throughput. Maintains documentation related to employee performance and communicates performance related issues to Administrator. Identifies needs and assists front line leads with planning of continuing education for office staff. Completes performance reviews of staff. In collaboration with HR makes decision regarding hiring, corrective action, terminations, and other HR initiatives.

Promotes, builds and ensures positive customer relationships at all levels within the practice. Troubleshoots and resolves issues. Updates administrator of significant activities.

Assesses and resolves all third party payor and patient billing issues using appropriate resources within UHMSO. Delegates and prioritizes daily work activities of the billing staff. Responsible for practice revenue enhancement/expense reduction initiatives and meeting financial objectives.

Recommends operational improvements. Meets with leads and providers to assess, design, implement programs and processes to increase the efficiency and effectiveness of the practice. Provides detailed action plans for UHPS initiatives and coaches front line leads and staff through implementation of projects. Collects and analyzes data and maintains reports for business efficiency and practice growth.

Education/Expertise:

HS Diploma  Associates or BS/BA degree preferred

Experience & Knowledge:

4-6 years of healthcare experience.  Supervisor experience preferred

Special skills &Equipment Knowledge:

Must have excellent interpersonal and communication skills; relate effectively with a wide variety of people; able to prioritize, delegate and follow-up; computer literate with word processing and spreadsheet knowledge; prefer medical terminology; an understanding of third party reimbursement requirements; and CPT and ICD-10 coding.
