Job Description

The Littleton Public Schools is seeking an experienced School Payroll Coordinator/Processor.

A Minimum of three years experience with MUNIS Payroll is required and preferred. Experience with other Municipal software may be considered depending upon experience. Must be a self starter, self motivated individual, who can work unsupervised. Must be able to handle multiple projects and be detailed oriented. The Littleton Public Schools has approx 275 full and part time employees. This is a year round, full time position. Qualifications: 

  • Associates Degree or higher in Business or Human Resources preferred. Minimum of 3 to 4 years municipal or school payroll experience a must.
  • Must be proficient in Microsoft, Google and automated payroll software. Experience with MUNIS and MUNIS Payroll Functions required. Experience with other Municipal and School Accounting platforms may be considered depending on experience. 
  • The ability to effectively interact with staff and administration; communicate verbally and in writing; handle stressful situations; and show initiative. Must be able to work independently and be able to interact with the Town Treasurer’s office when needed.
  • Must be flexible and demonstrate the ability to multitask and handle multiple projects and responsibilities. 
  • Maintain confidentiality in all aspects of staff and school information.

 

Essential Duties and Responsibilities:

  • Provide assistance to the School Business Manager or Superintendent as needed.
  • Work closely with Financial Manager to maintain correct posting of payroll accounts.
  • Preparation and Processing of Bi-Weekly Payrolls:
  • Setup employee information in payroll system when notified by the Treasurer’s office.
  • Setup salary information in payroll software.
  • Maintain attendance records in payroll system using Aspen.
  • Process Bi-weekly payrolls.
  • Process Summer payrolls
  • Assist in forecasting salary expenditures and budgets as needed

Reporting:

  • Provide salary data for state reports (Medicaid) and Town Auditors
  • Maintain payroll records to track salaries, etc.
  • Maintain spreadsheets on grants to track expenditures and request funds. Send letters to staff who are being paid through a grant for the Auditor. 
  • Manage and process request for Funds for grants through DESE Portal and online functions
  • Maintain all spreadsheets that are required for reporting purposes.
  • Manage TEC Bid- process and gather needed purchasing projections needed for bid process. Apply for and maintain records for supply ordering for office supplies.

Elementary Programs:

  • Maintain all records for billing and collections purposes of the following programs:
  • Pre-Kindergarten
  • Optional Kindergarten
  • Kindergarten
  • Prepare and process billing for these programs.
  • Track payments by individual or family

Human Resources Duties:

  • Contract /Appointment letters for new hires, changes in position, etc. Complete Payroll authorization forms for new hires.
  • Verify Teacher Licenses for all New Hires 
  • Maintain Personnel Files
  • Maintain Massachusetts Teachers’ Retirement for employees
  • Complete Massachusetts Teachers’ Retirement Monthly reports for Town Treasurer
  • Reasonable Assurance Letters to Staff 
  • Completion of Retirement Applications
  • Disposal of old records
  • Other duties as assigned

  • Maintain a high level of professional and ethical behavior with all school and town staff.
  • Be prompt and dependable.
  • Establish a good working relationship with all school and town staff.
  • Perform other duties assigned by the School Business Manager or Superintendent of Schools.
  • Participate in staff development programs as assigned.
