Assistant Director of Community Schools & Youth Sports & Activities Programs
4.0 hours/day for 261 days/year (year-round position) (pro-rated)
$36,134 - $40,064 (depending on experience)

JOB SUMMARY
Position develops, organizes and implements an exemplary youth sports program. This includes the youth sports program growth and development, with a specific focus on gender equity in sports participation. Position is also responsible for pool management and has oversight for district facility rentals.

ESSENTIAL DUTIES AND RESPONSIBILITIES
Essential duties of this position include the following tasks.  Employees in this position perform some or all of the following tasks.  Other duties may be assigned at any time.
Standard

 

  1. Facilitate and coordinate training and mentoring for secondary coaches and athletes in alignment with our Gender Equity Athletic Committee for all secondary schools.
  2. Coordinate youth, club, and community athletic scheduling and building availability with district administrators, secondary school Athletic Directors, the City of Lake Oswego, Parks and Recreation of Lake Oswego, and youth sports and activities organizations.
  3. Ability to coordinate, organize, and facilitate documentation around Title IX athletic regulations, obligations, and compliance.
  4. Coordinate scheduling and pool availability with in-district and out of district aquatic pool programs and users.
  5. Coordinate all operations of the pool facility including: hiring, scheduling and evaluating life guards, daily and weekly pool maintenance needs, and overseeing the pool vendors renting lanes at the pool.
  6. Effectively communicate and collaborate with the district, community, and the Director of Community Schools.
  7. Adhere to the district’s current user fee schedule and tier schedule and provide input on yearly updates.
  8. Maintain a fiscally responsible operation of programs including controlling program and labor costs, and ensuring proper staff purchasing protocols are followed. The entire Community Schools programs must be self-sustaining.
  9. Must hold a valid life guard certificate in order to cover life guard duties when needed.
  10. Ensure compliance of accounting records, including; calculation of weekly hours, submitting of payments, and weekly/monthly reports.
  11. Ensure that all employees provide excellent customer service.
  12. Conduct training and in-service education.
  13. Promote positive public image and program awareness.
  14. Support the district and department mission and goals.
  15. Demonstrates knowledge and understanding of all district policies and procedures.
  16. Maintains consistent, daily and punctual attendance.
  17. Perform other duties as assigned.

Specific

  1. Attend school and district leadership meetings, as needed, to receive information and distribute information about all Community School Programs.
  2. Works collaboratively with  secondary Athletic Directors, youth, and secondary school coaches

 

  1. Ability to make recommendations regarding hiring and assigning coaching personnel. Prior successful experience in conflict management involving people and competing interests.

 

  1. Provide a working environment that encourages teamwork and communication to support the department’s mission and goals.
  2. Develops informational materials for parents/guardians outlining services available, locations, procedures, rules and fee schedule.
  3. Maintains accurate and complete records, insurance coverage, health, and parent/guardian information.
  4. Develops and maintains an accurate accounting system for accepting and tracking payments from parents/guardians and for sending payments to the accounts receivable office.
  5. Informs the Director of Community Schools of unusual problems within the programs or changes in regulations governing services.
  6. Ensures pool area is maintained in a clean and well-organized manner in accordance with Clackamas County and State of Oregon safety and sanitation regulations.

NON-ESSENTIAL DUTIES AND RESPONSIBILITIES 
Non-essential duties of this position include the following tasks. Employees in this position perform some or all of these tasks. Other duties may be assigned at any time.

  1. Operates various office equipment including audio visual equipment/devices, telephones and photocopy machines.
  2. Orders supplies and equipment. Ensures proper use of program supplies and equipment.
  3. Attends in-service trainings, staff meetings and other meetings as assigned. Attends professional growth activities related to job responsibilities.
  4. Provides staff development activities for staff during in-service meetings.
  5. Serves on building and district committees and councils as assigned.
  6. Communicates information about district, school and/or departmental policies and procedures to students, staff, parents and patrons.
  7. Supervises students on school grounds and in schools/district facilities.
  8. Represents the district at major conferences and seminars concerning extended day programs and early childhood education.
  9. Presents district positions on extended day services to legislative bodies and regulatory agencies.
  10. Reports issues to principals and the appropriate authorities including safety, sanitary and fire hazards, vandalism, thefts and errant wildlife.

OTHER REQUIREMENTS

  1. Consistently follows all applicable federal and state laws and all district policies, rules and supervisor directions.
  2. Observes ergonomics of sedentary office work including placement of computers and monitors, and sitting alignment.
  3. Observes proper lifting techniques and other strategies to avoid accidents and personal injury while performing job duties.
  4. Performs other duties as assigned.

SUPERVISORY RESPONSIBILITIES
All school employees have some responsibility for supervising students and assisting in maintaining a safe environment.

QUALIFICATIONS

  • Education and/or Experience: A Bachelor’s degree is required. An Oregon Teacher Certification is preferred. A minimum of two years of successful experience providing youth sports services, preferable as a multi-site operation, is required. Multi-site management experience is preferred.  Demonstrated knowledge of youth sports and development is required.
  • Interpersonal Skills: Works well with others from diverse backgrounds. Focuses on solving conflict, maintaining confidentiality, listening to others, keeping emotions under control, remaining open to others’ ideas and contributing to building a positive team spirit. Demonstrates the ability to remain calm and professional in an environment with frequent interruptions. Interacts with staff and students appropriately.
  • Language Skills: Ability to communicate in English fluently both verbally and in writing, including proficiency in spelling and grammar. Ability to respond to common inquiries or complaints from students, parents, staff, regulatory agencies, vendors and members of the community. Ability to read and interpret documents including governmental regulations, safety rules and operating and maintenance instructions/ instruction manuals. Ability to prepare routine reports and correspondence with high degrees of accuracy and professionalism.
  • Mathematical Skills: Ability to add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions and decimals. Ability to calculate rates, ratios, percentages and proportions. Ability to read and interpret various charts, bar graphs and similar visual data depictions.
  • Reasoning Ability: Ability to apply common sense understanding to carry out instructions furnished in oral, schedule or diagram form.  Ability to deal with problems involving more than one variable.
  • Computer Skills: Ability to effectively use office computers and internet access for email, research, word processing, database manipulation, visual presentations and general web-based applications.
  • Other Skills and Abilities: Ability to exercise good judgment and work effectively in a dynamic environment. Demonstrated knowledge of applicable federal and state laws and federal, state and local rules and regulations governing extended day programs and services. Demonstrated supervisory and managerial skills.
  • Certificates, Licenses, Registrations: A valid Oregon Driver’s License is required.  First Aid Certificate required. Life Guard Certification required. Must have or able to obtain Certified Pool Operator certificate. Must have or able to obtain various certificates, licenses and/or registrations as required by federal, state or local law(s) and/or determined by the district.

The work environment is a standard classroom, school gymnasium and occasional outside/playground settings. The noise level of the work environment is usually low to moderate, but occasionally high depending upon the location, the student population and current activities. The employee will regularly supervise students. The employee is occasionally exposed to wet or humid conditions and outdoor weather conditions, including seasonal heat and cold. The employee will regularly be exposed to a variety of cleaning agents and their fumes.
