Position Summary/Essential Duties:

Assists Supervisor with departmental operations, which includes ensuring secretarial areas are properly staffed and patient needs are being adhered to.  Serves as resource for clinical secretaries. Maintains departmental phone list and physician schedules.

Essential Duties

  • Assists Supervisor with training new employees and operational support to ensure the smooth flow of the departmental operations.
  • Performs secretarial and general office duties to support the physician(s) and the department in its clinical, academic, and research activities. 
  • Maintains physicians, departmental and staffing schedules.
  • Demonstrates the essential behaviors of working together as an integrated team, accountability, and pursing continuous improvement.
  • Maintains a professional demeanor when dealing with staff, physicians and external contacts in order to present the office in a positive manner.
  • Hands-on work as a member of the clinical secretarial team, to ensure efficient and effective operations. 
  • Performs process, operational and system monitoring/audits to ensure that efficient, cost effective work processes are in place. 
  • Other duties as assigned.

  • High school diploma or equivalent required.
  • Associates Degree preferred.
  • Minimum five years of secretarial experience
  • Supervisory experience preferred. 
  • Must be detail-oriented and organized, with good analytical and problem solving ability. 
  • o Notable, communication, presentation and relationship building skills required. 
  • o Ability to function independently and as a team player in a fast-paced environment required
  • Must have strong written and verbal communication skills.
  • Demonstrated ability to use PCs, Microsoft Office suite, and general office equipment (i.e. printers, copy machine, FAX machine, etc.) required.
  • Knowledge of Oracle, IDX and Soarian required.
