Clerical/Process Management:
  • Perform general office duties and day to day administrative tasks in support of all departmental divisions and administration
  • Schedule appointments, meetings and conference calls for the Director and Education Team as requested
  • Attend meetings as requested to record minutes and document program content; teach assigned classes as appropriate
  • Provide clerical support to the Education Team including data retrieval from PeopleSoft, API and the online learning LMS
  • Coordinate assigned program logistics for a seamless process of invitations, attendance and credit accrual
  • Update and maintain leadership curriculum materials, toolkits and online course materials
Communication:
  • Answer incoming telephone calls, assist customer or direct call to appropriate personnel; take accurate and timely messages
  • Update and maintain Education Department Intranet pages as assigned; coordinate general departmental information flow
  • Communicate with other departments and leadership for completion of their required training and professional development
Budget:
  • Accountable for maintaining departmental budget expenses; Orders and maintains departmental supplies/information (i.e.- coordinates all POs, ordering, invoicing and payments)
  • Assist Director in the reconciliation of departmental general ledger and sub accounts
  • Assist Director in preparing, submitting and implementing annual budget information
Customer Service:
  • Greet visitors in a professional and courteous manner
Recordkeeping/Reporting:
  • Assist with tracking of API records verification of time cards for staff, float hours and guest program instructors
  • Perform data retrieval and reporting - enter data as necessary for presentations, reports, spreadsheets, and other projects/tasks
  • Complete all specialty certification requests; process for timely and accurate payment to qualified employees
  • Enter assigned LMS program write-ups for timely and accurate assignment of LMS program number
Regulation:
  • Adhere to NMHS/NMMC Policies/Procedures/Guidelines
  • Comply with Local/State/Federal policies/procedures/guideline/regulations/laws/statues and all required credentialing agencies
Requirements:
  • High School Diploma or equivalent; required/Associates Degree in Business or related field
  • Minimum of 3 years' experience as Administrative Secretary/Assistant or Office Coordinator; Healthcare setting preferred
  • Certified as a Notary Public in the State of Mississippi; preferred
  • Must possess strong clerical and organizational skills; required
  • Strong written and verbal communication; required
  • Working knowledge of personal computers (PC) and Microsoft Office applications; Proficient in use of Microsoft Word, Excel, and Power Point; required
  • Working knowledge of basic webpage development and maintenance; required
  • Knowledgeable of regulatory and credentialing agency rules and regulations for educational record-keeping; required
  • Proficient in the use of various office equipment; required
  • Strong interpersonal skills; required
