Summary

The Eastgate Public Health Center within Public Health Seattle & King County, is seeking candidates to fill our Application Worker-Referral Coordinator position!  

The Referral Coordinator position falls under the Application Worker job classification with specific assigned duties that provide administrative support to our referral work process and flow.  The referral coordinator is responsible for assisting our clients connect with specialty medical care and treatment as prescribed by their primary care provider. This work includes about is not limited to, obtaining insurance authorization and eligibility, assist client with obtain financial assistance from insurance plans and community services, such as project access and charity care. Our Eastgate clinic processes a large volume of referrals, approximately 250 or more referrals per month, with an average of 1-3 calls per referral.
 
The Referral Coordinator must be a self-starter, with excellent time management and organizational skills able to process and manage a large volume of referrals within the established turnaround time. The referral coordinator is responsible for maintaining clients records in the referral database; ensuring prior authorization is received from the client’s insurance company when required; ensuring reports are received from specialists; troubleshooting billing issues; responding to inquiries from the public regarding community resources; informing clinic management and provider of processes or insurance changes that impact referrals.

 This position is works Monday, Tuesday, Thursday, and Friday 8:00am - 5:00pm and, Wed 9:00am - 6:00pm

Job Duties

  • Referrals of personal health clients to specialty services will be handled in a complete, accurate and timely manner
  • Referral coordinator will ensure the entry of the referral into the electronic referral system within two working days of the referral date
  • Specialty care referrals and orders for services requiring prior authorization will have well-documented medical necessity and required documentation
  • Referral coordinators will ensure that all required documentation is attached to the referral (chart notes, x-rays, lab results, etc.)
  • Prior to faxing referrals and other documentation, referral coordinator will verify the fax number to ensure confidentiality of transmission
  • All family health clients, regardless of their insurance status, will receive specialty care referrals as appropriate for the documented medical necessity
  • Referrals of managed care clients will comply with the requirements of the member’s health plan
  • The referral coordinator will ensure that an accurate and complete record of the referral and follow-up information is provided in the referral database and documentation of the referral becomes a part of the member’s medical records
  • The referral coordinator will provide timely follow up, contact providers when concerned about patient
  • Active participant of EPIC Management work queue   


Experience, Qualifications, Knowledge, Skills

  • Skilled in using computer including proficiency in a Windows environment, and the ability to use drop down menus, point and click software, multiple screens and the ability to enter data
  • Skilled in attention to detail
  • Ability to use word-processing and spreadsheet software to complete assigned tasks
  • Ability to maintain confidentiality
  • Skilled at providing Excellent Customer
  • Ability to communicate in a pleasant, non-judgmental, respectful, culturally sensitive manner under varying levels of stress (this may include high levels of noise, limited resources, etc.)
  • Must possess excellent verbal and written communication skills
  • Skilled in using office machines such as fax machines, copiers, label maker, and printers.
  • Ability to gain functional knowledge of medical terminology, ICD-coding, CPT coding and other managed care requirements
  • Knowledge of Washington State health care guidelines and procedures
  • Skilled in working independently; working in a team setting; and using independent judgement
  • Skilled in handling difficult interpersonal interactions with discretion and diplomacy
  • Skilled in prioritizing and completing multiple tasks simultaneously
  • Ability to work with interpreters and clients for whom English is a second language
  • Knowledge of state health care programs
