UW Finance Division is the central finance organization for the UW, responsible for strategic planning, oversight, and direction of UW’s financial structure, resources, and services. UW Finance provides critical collaboration, consultation and financial stewardship supporting all three campuses, UW medical centers, and research operations around the world.

The UW Finance Division is currently seeking a Technology Project Manager (TPM).  The TPM will independently structure, lead, and coordinate the UW Finance Division activities that are part of the larger University's UW Finance Transformation Program (UWFT). Following the successful modernization of the UW’s HR, payroll, benefits and time tracking system, the University is focusing on the next technology transformation - replacing aging financial systems. UWFT will fundamentally change the systems, policies and processes and deliver a current, cloud-based system that will improve how the UW tracks, spends, collects, manages, and reports financial information across the entire institution.

The TPM is responsible for project planning, prioritization, scoping and stakeholder buy-in; management of resource allocations; managing budgets and tracking budget performance; managing multiple work steams including issue and risk resolution and escalation as needed; and delivery and deployment of UW Finance Division projects as  they relate to the larger UWFT program. The TPM is the single point of contact for all of UW Finance Division's UWFT projects.  This position will facilitate mapping current business process to future business process, ensuring that key compliance and legal requirements are prioritized as the new system is designed. This position will further be responsible for revising and synchronizing policies, processes, web information, and tools to align with decisions emanating from the UW Finance Transformation Program (UWFT) and with the work products delivered through Workday.

Acting as project manager, policy interpreter, change champion, and end user advocate, this position will draw on many skills in leading UW Finance’s Finance Transformation readiness effort. From researching and developing a detailed project plan and resource estimates to assessing and clarifying opportunities to partner with existing Finance and UWFT team members, this work will support a successful user experience by making it easy for employees and managers to ultimately participate in the design and implementation of the new system so that they can support accurate and timely transactions in the future.This will require effective communications between internal and external teams, as well as key stakeholders at all levels including senior executives, and capable management of expectations.

The TPM is a senior project manager well versed in IT projects and programs, including experience in the implementation of large scale, enterprise projects in diverse and complex technical and business environments.

Duties & Responsibilities:

Project Leadership

•           Create and gain buy-in for program and project structure for UW Finance as relates to UWFT

•           Provide leadership and guidance as the team plans, architects, and develops solutions.

•           Communicate with executive management during project charter development, priority setting, status and budget reporting at the Director, VP, and Executive level.  

•           Schedule and lead project meetings with project team, business stakeholders, executive-level sponsors

•           Work with cross-functionally with management and SMEs to establish project requirements, priorities and deadlines

•           Drive decisions effectively and on time across all project participants

•           Define and monitor performance indicators and progress measures

•           Periodically review and revise project management best practices, tools, and methods


Project planning, coordination and service management

•           Manages the project teams with a focus on delivery and implementation that successfully supports UW Finance as relates to the UWFT program

•           Accountable for the project deliverables, estimates and timeline that articulate UW Finance Division's UWFT vision, goals, benefits, and requirements.

•           Create and manage projects and services to the project charter, project plan, RACI, and SDLC

•           Create project management reports that concisely summarize project milestones, progress, resource allocation and other key metrics as requested by sponsors.

•           Manage project development by collaborating with management and stakeholders to define and communicate project scope, goals and deliverables that support desired business outcomes

•           Lead development and execution of change management plans

•           Lead the project team from initiation through implementation, including phases such as planning, analysis, design, prototyping, build-out, acceptance, deployment, and stabilization.

•           Manage scope, budget, schedule, resources, issues and risks and adjusting resources, scope, priorities and schedule accordingly

•           Lead regular triage meetings

•           Conduct periodic retrospectives at the end of a project milestone or as needed.  Capture lessons learned, develop plan for corrective action, and apply to subsequent projects.


Communication and decision-making

•           Drive and facilitate communication with program and project teams, management, customers, and stakeholders.

•           Communicates to all project stakeholders the status with ongoing projects and process improvement activities and negotiates cross-functional challenges.

•           Communicate project status to executive management and portfolio review board on a regular basis.

•           Lead effective decision-making on teams, ensuring that technical and business details are considered appropriately and decisions facilitate product quality and timely delivery

Required Qualifications:

Bachelors Degree and minimum of five years of experience performing progressively more complex tasks in business and technical management activities.

•    Experience with large scale technical project management in large, complex environments

•    Experience with business process mapping of As-Is/To-Be

•    Experience across the systems development life cycle with experience in all program/project phases:  plan, initiate, elaborate, design, prototype, build, test, deploy, and stabilize

•    Experience in designing, gaining buy-in, and executing change management plans

•    Demonstrated advanced project management soft skills, including tolerance for ambiguity, ability to earn the trust of stakeholders, ability to motivate team members, tenacious problem ownership, the ability to deliver bad news gracefully, and a dedication to customer advocacy.

•    Excellent verbal and written communication

•    Strong problem solving skills.

•    Ability to work independently and with minimal supervision.

•    Experience facilitating meetings, constructively addressing input and criticism, and resolving conflicts.

•    Experience working with PowerPoint, Visio, Excel, Word, and MS Project

Equivalent education/experience will substitute for all minimum qualifications except where there are legal requirements such as license/certification/registration.

Desired Qualifications:

•           Experience with Workday

•           Proficiency in JIRA or similar project tracking/issue tracking tool

•           Experience in a major research university setting

•           Knowledge of multiple business subject areas, i.e. Accounting, Finance, etc.

•          Experience standing up and managing programs

•          PMP certification

•          Change Management certification
