Job Summary
Reporting to the Divisional Dean and Coordinator of Flight Operations, the Aviation Specialist oversees the desk when students are scheduled to fly in the Professional Pilot Program and is available for all students in this program. The College conducts flight operations under Federal Aviation Regulations (FAR) Part 141. This position meets certification requirements for dispatching aircraft for flight. The hours for this department will range between 6 am to 10 pm, six days a week affording students the opportunity to successfully complete the graduation requirements for this program.
Primary Duties and Responsibilities
Essential Performance Requirements*
  • Dispatches aircraft for students and instructors including the supplemental dispatch paperwork, which provides mandatory information to the student before flight can ensue
  • Maintains numerous spreadsheets throughout the day including updating student financial balances, tracking student attendance, lesson cancellation with specific coding, and vendor scheduling issues
  • Invoices all lesson activity for students scheduled each day
  • Records all financial information into spreadsheets for current students
  • Pulls all financial balances for individual spreadsheets to Semester Master sheet
  • Enters student FAA mandated documentation into e-files and Vendor scheduling software
  • Collaborates with all others in this position on procedural updates
  • Maintains a handoff sheet with current flight information to the relieving shift
  • Maintains flight center area and equipment in clean and working condition
  • Operates and assists in radio communications
  • Operates office machines
  • Composes, types and edits correspondence
  • Provides instructors and students with requested information
  • Supports the Professional Pilot and Flight Operations programs in assisting students in scheduling their flights in accordance to the rules and regulations of US Aviation

Management Consultation
  • Ability to make appropriate decisions when Supervisor/Flight Coordinator is away from the office
  • Contacts all required personnel and other local concerns such as the police and fire department in the event of an emergency situation
  • Maintains on‑going contact with the responding personnel and keeps them informed of all incoming pertinent information

Service Excellence
  • Attends the workplace regularly, reports to work punctually, and follows a work schedule to keep up with the demands of the worksite
  • Works during selected days of TCC breaks including Christmas, Spring, and Thanksgiving
  • Visibility requires maintaining a professional appearance and providing a positive image to internal and external customers and stakeholders
  • Completes all required training and professional development sessions sponsored through Tarrant County College (TCC)
  • Supports the mission, values, goals, and principles of the College

Supervision
Works under the general supervision of the Coordinator of Flight Operations

Required Minimum Qualifications
  • High School Diploma or GED and two (2) years’ working experience related to the Essential Performance Requirements; or an equivalent combination of education and working experience
  • Must be the minimum age of 21 years old

  • Experience working with computerized systems
Knowledge, Skills and Abilities
  • Skilled in excellent customer service and interpersonal relationships
  • Skilled in oral, electronic, and written communications
  • Skilled using computerized applications and enterprise systems, including word processing, spreadsheet, and presentation software
  • Ability to speak clearly and communicate well, discern routine and emergency situations and provide accurate information to responding police units
  • Ability to think critically to effectively solve and communicate problems in a fast-paced environment where the demands for work are varied, and unpredictable in scope and volume
  • Ability to work independently, after hours and on weekends when needed

While performing the duties of this job, the employee occasionally works near moving mechanical parts and is occasionally exposed to risk of electrical shock. The noise level in the work environment is usually quiet.
