Summary

THIS SPECIAL DUTY ASSIGNMENT IS ONLY OPEN TO CAREER SERVCE EMPLOYEES.
WORK WILL PRIMARILY BE REMOTE FROM HOME. 

The Department of Executive Services is searching for an energetic and resourceful administrative professional who likes to “Get stuff done” to join our team as Special Duty – Human Resource Associate (Recruiting Coordinator). This position provides high-level administrative support for the day-to-day human resources delivery. This is an exciting Special Duty opportunity for a County employee who is looking to expand their skills and learn about Human Resources. The ideal candidate will like to solve problems, enjoy working as a team, and jumps at the chance to work on projects.
 
This Special Duty assignment is currently approved until the end of December 2022. You will need permission from your supervisor/manager if offered the assignment.
 
Here is a sample of the work you will be doing in this special duty assignment:
 

  • Serve as recruitment team coordinator. Participate in the recruitment and selection process by posting job opportunities, arranging external advertisements, screening applications, scheduling interviews, preparing interview material, making travel arrangement for candidates, proctoring exams, and administering applicant tracking, testing, and reference/background checking systems.
 
  • Provide excellent customer service by responding to inquiries and delivering informational assistance to applicants, employees, and other customers, and coordinating with other units/departments to obtain information and/or to share information.
 
  • Act as a system administrator for PeopleSoft HCM and other software programs by managing data; providing training, responding to users’ inquiries, resolving complaints; and generating reports.
 
  • Manage records by ensuring timely creation, maintenance, and archiving of documents/files to support historical accuracy; compiling information, documents, and records for public disclosure requests; and following records retention and destruction procedures in accordance with legal requirements.

  • Perform general office support by answering phones, preparing correspondence and reports, scheduling meetings and appointments, researching and compiling information, maintaining assignment logs, updating templates and websites, and making recommendations for process improvements and streamlining procedures. 
 
WE ARE LOOKING FOR CANDIDATES WHO:
 
  • Have the ability to provide senior-level administrative support to professional staff; OR any combination of education and experience that clearly demonstrates the ability to perform the job duties of the position.
  • Is a strong user with PeopleSoft HCM or Time & Labor. Understands how to navigate PeopleSoft, run queries, process payroll or HR transactions. 
  • Have an interest and want to learn about the practices of human resources management and employment-related federal and state laws and regulations.
  • Have the ability learn and use database applications and analytical tools, including evaluating data quality.
  • Have strong customer service, organizational, analytical, time management, communication, and interpersonal skills, including the ability to work well independently and as part of a team.
  • Have the ability to utilize SharePoint and other tools to automate processes and track work items. 
  • Are proficient in using office productivity suite (Word, Excel, PowerPoint, teams) in daily work, use online tools as well the ability to use application tracking and/or enterprise resource planning (ERP) software. (The county uses Microsoft Office, NeoGov, and  PeopleSoft Human Capital Management application, and Zoom)
