Description

Responsible for the overall operations of the J.E. Broyhill Civic Center (JEBCC) including scheduling and coordinating performing arts and conference center events. Duties include, but are not limited to programming, public relations, contract negotiations, staff training and advertising. 

Examples of Duties

Essential Functions:

  • Plan, organize, schedule, coordinate and communicate JEBCC operations, events and performances.
  • Formulate, direct and coordinate marketing activities to promote events and performances; work with the community relations department.
  • Oversee operations of the JEBCC including supervision of the box office and ticketing systems, customer relations, house management and ushers. 
  • Create, update, share and maintain a master calendar for scheduling events and activities at the JEBCC. Conduct production meetings to aid in the coordination of activities.
  • In conjunction with the Director, Performing Arts, serve as a contact with performing professionals and their agents. Conduct talent search for proposed upcoming seasons.  
  • Work with local schools and outside groups to negotiate contracts for rental of meeting space and auditorium.
  • Maintain a running inventory of all JEBCC equipment. Order new equipment as needed in conjunction with the director's request. 
  • Communicate effectively in a professional, tactful and courteous manner with students, employees and general public. 
  • Evaluate activities and operations of the JEBCC and ensure that operations meet the goals and objectives of the college, and needs of the community. 

Marginal Functions: 

  • Attend various meetings, seminars and conferences; make presentations to outside agencies as a representative of the college. 
  • Perform other duties as assigned.

Qualifications and Working Conditions

Knowledge of:

  • Organizational and management practices as applied to the planning, analysis and evaluation of division programs, policies, and operational needs. 
  • Modern office procedures, methods, and computer equipment. 
  • Basic mathematical calculations.

Ability to:

  • Analyze problems, identify alternative solutions, project consequences of proposed actions and implement recommendations in support of goals. 
  • Supervise, train and evaluate technical staff.
  • Prepare clear and concise administrative and financial reports. 
  • Interpret and apply Federal, State and local policies, laws, and regulations.
  • Communicate clearly and concisely, both orally and in writing. 
  • Establish and maintain effective working relationships with those contacted in the course of work.
  • Interpret, explain, and enforce departmental policies and procedures. 
  • Work independently in the absence of supervision. 
  • Oversee the preparation and administration of the JEBCC budget.
  • Conduct committee meetings in as effective and efficient manner.

Environmental Conditions: 

The employee should have the ability to effectively handle a work environment and conditions which involve an office and classroom workspace and working closely with others. 

The employee must sustain the work environments by maintaining equipment and supplies, ensuring overall cleanliness, functionality, and conformance to OSHA standards to provide a safe work environment.  

Physical Conditions: 

Physical and marginal functions require the ability to maintain physical condition appropriate to the performance of assigned duties and responsibilities, which may include the following; standing, walking or sitting for extended periods, moderate lifting and carrying, general manual dexterity, operating assigned equipment, and extended exposure to computer screens. 

The employee must maintain effective audio-visual discrimination and perception needed for making observations, reading and writing, operating assigned equipment, communicating with others, and handling varied tasks simultaneously. 

Additionally, the employee must maintain mental capacity, which permits making sound decisions and using good judgment, demonstrating intellectual capabilities, and evaluating the effectiveness of programs and personnel. 

Scheduling Conditions: 

This is a full-time, 12-month position, which requires the employee to be on campus or at an approved alternate location for at least forty hours per week, Monday through Friday. This position requires day, evening, and weekend hours. 

Traveling Conditions:

Local travel between the Caldwell campus, Watauga campus, or any off-campus sites, may be needed. Out-of-state travel is limited, but may be required for training and conferences.

Experience and Training

Experience: 

Five years of progressive management duties related to any combination of the following required: performing arts, conference and meeting facility management, event planning, and/or hospitality management. 

Training:

Bachelor's degree from an accredited college or university is required, Master's degree preferred.  

A degree in business management, hospitality management, or arts administration is preferred.
