Job Description:

Under the supervision of the Director of the Gateway to College program, the Staff Assistant provides a broad range of services to support students in the Gateway to College program. The program serves Springfield Public Schools at-risk high school students ages 16-20 and gives students an opportunity to earn a high school diploma while simultaneously earning college credits at Springfield Technical Community College. The Staff Assistant is a key contributor to the effective operation of the program. The Staff Assistant should be dependable, well-organized and efficient and strive to meet the needs of the program by maintaining program data, and coordinating and disseminating information between staff, faculty, partners, and other administrators. The candidate should have the ability to communicate effectively with students, staff and faculty from diverse cultural backgrounds.  Additionally, the Staff Assistant needs exceptional attention to detail, is able to complete projects independently, and is flexible and willing to adapt on short notice. In addition, the Staff Assistant will be responsible for collaborating with others to create a strong relationship with the STCC campus, the school district and community that leads to the success of students in the program.

Scope of Responsibilities: 

Collaborative Program Support

  • Serve as receptionist and first point of contact for program; field calls from the public, including partners, potential students and parents; schedule appointments with students, parents and stakeholders.
  • Network, maintain and establish relationships with the public schools, partners, families, businesses and community organizations; liaison between STCC, public school partners, and Gateway to College National Network.
  • Coordinate, conduct, and/or participate in recruitment and selection activities, including information sessions, community events, school visits, student re-engagement strategies, perform related data entry.
  • Organize, track, collect, and input student/applicant information, process applications, coordinate college and student testing schedules and track results.
  • Referral source for students seeking college and community support services; establish relationships with community organizations and maintain updated information about community resources available to students.
  • Perform clerical work; creating documents and marketing materials, printing, copying, faxing, managing files and records, etc.  
  • Responsible for inventory management; purchasing books, tracking and maintaining library of course materials, distributing and exchanging books.
  • Performs other duties as assigned.

Data Collection, Entry and Reporting

  • Set up and maintain detailed files and administrative records for required data.
  • Collect, input, and maintain data in multiple databases (ie. PowerSchool, Datatel, Microsoft Access, Business Objects), coordinate timely reporting of data to partners.
  • Disseminate and coordinate information among staff, faculty, partners and stakeholders.

Fiscal Support Management

  • Monitor program budget, purchasing, tracks office supplies ordering and inventory


Requirements:

  • Associate's Degree in related field is required.
  • At least three to five years of experience in office setting and procedures.
  • Excellent keyboarding skills/word processing, database, spreadsheet software, email/internet required.
  • Ability to work independently and as a part of a team, manage multiple projects and assignments, exercise sound judgment, and maintain confidentiality.
  • Must be customer and student centered.
  • Must possess excellent math, oral and written communication skills.
  • Must be a self-starter, highly organized and detail oriented.
  • Ability to record meeting minutes and expertise in Microsoft Word, Excel, PowerPoint, and Access required.
  • The successful candidate must have an understanding and commitment to working in a diverse urban community college environment and commitment to working with at-risk youth. Bilingual/Multilingual-Spanish speaking preferred.

INFORMATION AWARENESS SECURITY TRAINING:

Candidates for employment should be aware that all STCC employees are required to complete Information Awareness Security Training within thirty days of their orientation date and annually thereafter.
