Summary

This Special Duty/Term-Limited Temporary Confidential Secretary position is an opportunity to join the King County Sheriff’s Office (KCSO).  This position is responsible for a wide variety of senior level administrative and secretarial duties in support of a Division Chief.  The person in this role has delegated authority to independently handle daily administrative duties on behalf of the Chief they support and must maintain the confidentiality of highly sensitive and legal communications.  Other duties include maintaining the Chief's email, calendar, and keeping the Chief apprised of current or potential issues within the Division.  We are seeking someone with a strong clerical skill set who is proactive and can maintain professional relationships.  

WHO MAY APPLY:  This temporary assignment is expected to last approximately 4-6 months, with the potential for an extension.  It is open to the public however if it is filled internally, it may be filled as a special duty assignment. 

WORK SCHEDULE: This is full-time, FLSA non-exempt and is overtime eligible with prior approval. Typical work schedule is 40-hours per week, Monday through Friday from 8:00 AM – 4:30 PM.

Job Duties

The following functions are not intended to serve as a comprehensive list of all duties performed in this classification, but a representative summary of the primary duties and responsibilities.  The incumbent may be required to perform additional, position-specific duties.

  • Serve as the primary assistant to a Division Chief. 
  • Provide daily briefing and prioritization of responsibilities. 
  • Arrange and maintain meeting schedules and handle meeting logistics. 
  • Preparing meeting materials, arranging travel and retaining records. 
  • Frequently disseminate and relay pertinent information to the Chief. 
  • Manage Chief's emails and correspondences daily. 
  • Provide front desk coverage to the Sheriff's Office receptionist as needed. 

Experience, Qualifications, Knowledge, Skills

Knowledge of:

  • Office administrative and secretarial practices and procedures. 
  • Handling highly sensitive and confidential information and materials. 
  • Recordkeeping principles and procedures. 
  • Techniques for providing a high level of internal and external customer service. 
  • Appropriate English usage, spelling, punctuation, and grammar. 
  • High level correspondence materials such as memos and formal letters.
Skill In:
  • Microsoft Word, Excel, and Outlook. 
  • Research, collect and interpret data; aggregate for varied audience consumption. 
  • Strong written and verbal communication skills. 
  • Assertive and respectful. 
  • Time management and prioritization. 
  • Maintaining confidentiality while earning trust and respect of co-workers through honesty, integrity, and professionalism in all interactions. 
  • Providing information assistance in a way that builds strong and respectful relationships, with peers, managers, and customers.

Required Qualifications:
  • Three years of progressively responsible administrative/secretarial experience related to duties of the position.
Desired Qualifications:
  • Experience in the public sector 
  • Experience working with law enforcement or in a paramilitary setting
