Summary

The King County Department of Adult and Juvenile Detention's Juvenile Division is seeking a highly motivated professional to join our team as an Administrative Specialist Ill. This is an exciting opportunity to join King County government and play an essential role in supporting our vision.
 
ABOUT THE DEPARTMENT: The Department of Adult and Juvenile Detention is a professional and nationally recognized organization that supports safe, vibrant, and healthy communities in partnership with other criminal justice and human service agencies. The Juvenile Division is responsible for the care and custody of youth who are detained in the Juvenile Detention Facility and also operates King County's Alternatives to Secure Detention programs. The Juvenile Division is committed to a philosophy of balanced and restorative justice, moving from a system that criminalizes vulnerable youth to one that supports them in leading safe, productive lives.
 
Joining the Juvenile Division provides the unique opportunity to join a department during the height of systemic transformation. The Juvenile Division incorporates the principles of restorative justice by promoting communication skills, empathy, and other opportunities for personal growth. Youth also learn team building skills and are exposed to new ideas, career opportunities, and self­-awareness through various programs offered within the facility.
 
Our focus is on ensuring that there are alternatives to secure detention and community-based services for eligible youth. While King County has significantly reduced the number of youth detained in our facility and continues to develop alternative programs to further reduce the reliance on detention, youth who are detained in our secure detention facility are managed in a manner consistent with national best practices in juvenile justice.

Job Duties

  • Performs job duties in support of two specific work teams and their designated Project Managers:
    1. Judge Patricia H. Clark Children and Family Justice Center (CFJC) Strategic Planning
    2. Alternatives to Secure Detention (ASD)
  • Proficiency in Excel, experience with Microsoft Office applications, ability to train in other software programs (JMS, JIMS, DISA, etc.)
  • May be assigned the orientation and/or training of co-workers (light duty staff)
  • Maintain, inventory, order, collect, and distribute supplies or equipment.
  • Attend internal and external partners' meetings and take notes during meetings.
  • Record public and/or departmental hearings and/or meetings.
  • Prepare budget and budget revision materials and/or federal or Washington State grant documents according to specific directions; perform financial, payroll, or other financial/numeric work requiring the application of accepted bookkeeping or basic accounting methods and applications.
  • Provide and/or acquire program-specific information relating to assigned specialized or technical clerical support services that require interpreting established policies, procedures, codes, regulations, and other relevant sources to internal and/or external customers over the telephone, in writing, and/or in person.
  • Schedule meetings and maintain calendars for supervisor and/or organizational unit/program.
  • Interview internal and/or external customers to establish program-specific documentation and/or identify services needed.
  • Compose, draft, summarize, prepare, proofread, and/or edit documents, contracts, ordinances, reports, motions, and/or correspondence to ensure these conform to the appropriate use of the English language, specialized terminology, and established procedures.
  • Research and summarize specialized or technical information from varied sources. This may require selecting the most appropriate material and the use of spreadsheets and customized database applications.
  • Support other efforts across the Division, as needed.

Experience, Qualifications, Knowledge, Skills

  • Three (3) years of full-time administrative work experience in an office setting. This experience should include the performance of clerical tasks such as general office management (e.g., organizing files, preparing documents, responding to emails, answering phones, taking messages, and ordering supplies).
  • Excellent organizational skills.
  • Detail-oriented with great attention to quality and accuracy.
  • The ability to work on repetitive tasks while maintaining speed and accuracy.
  • Experience exercising good judgment; the ability to recognize sensitive or confidential matters and maintain confidentiality at all times.
  • Demonstrated skill in following oral and written instructions and following through on assignments as directed.
  • Strong customer service skills in person, via email, and telephone (e.g., tact, discretion, courtesy and professionalism).
  • Excellent oral and written communication skills.
  • Demonstrated ability to work successfully both independently and as part of a team.
  • Demonstrated ability to be flexible, changing priorities as workload demands.
  • Demonstrated ability to maintain regular, reliable, and timely attendance.
  • Possess a positive outlook, with an eagerness to learn, take initiative, and think creatively.
  • Proficient utilizing MS Office Suite, specifically Microsoft Excel.
  • Ability to lift and move boxes weighing up to 25 pounds.
  • Valid Washington State Driver's License or the ability to travel around the county in a timely manner.
THE MOST COMPETITIVE CANDIDATES WILL POSSESS:
  • Intermediate-level proficiency utilizing Microsoft Excel.
  • Knowledge of equity and social justice principles.
  • Experience coordinating, scheduling, and taking notes in meetings or events for large groups.
  • Experience utilizing SharePoint.
  • Experience supporting multiple teams and competing tasks.
ADDITIONAL REQUIREMENTS: Candidates for this position may be required to complete skills testing.

Supplemental Information

WORK SCHEDULE: This position will work a 40-hour work week and is overtime-eligible. Standard work hours are Monday through Friday, 8:00 a.m. - 5:00 p.m. Workdays and hours for the position may include some early morning, evening, and weekend hours.
 
WORK LOCATION: The individual selected for this position will work within a secure juvenile detention setting and will be assigned to the Patricia Clark and Family Justice Center located at 1211 E. Alder Street, Seattle, WA.
