The Department of Health Services has an excellent opportunity for a part-time (50% FTE) Project Manager with an interest in research. This position will report to the Principal Investigator, and manage a program that comprises one Department of Defense research project requiring exceptional project management skills and collaboration with multiple faculty and site contacts.

This qualitative research project focuses on health services delivery and supports for active duty Service Members and veterans who have suffered spinal cord injuries. The investigative team will examine aspects of care associated with the Military Health System and the Veterans Health Administration from the patient’s point of injury through reintegration with the community. As such, this project will explore the nature and range of community-based supports available to veterans receiving inpatient care and upon discharge.

Housed in the UW School of Public Health, the Department of Health Services is a dynamic academic and research department with the mission of working with partners in public health and health care to prepare leaders, design solutions, and conduct innovative research that is translated into practice and policy. The Department is steadfast in its efforts to improve and promote the health of all populations, and staff contribute daily and directly to the work of faculty, students, researchers and other staff, providing support and expertise to the Department's common cause.

Duties and Responsibilities:

Project Management

Proactively manage and track project progression by working with all project team members to ensure that milestones are reached in a timely fashion. This is to be done with particular attention to identifying project challenges, and proactively communicating with the Principal Investigator about challenges and any milestones that may be missed. Specific project management duties include:
• With the PI, develop project timelines; independently track timelines, and propose ways and means to stay on track for the project milestones set by funding agencies and investigators.
• Routinely review the milestones set by funding agencies and investigators. Regularly confer with investigators about progress toward milestones.
• Actively participate in routine conference calls and meetings to apprise the project teams of progress; communicate issues, risks, and possible mitigation strategies.
• Build a common process to ensure and increase consistency across sites for conducting interviews, prioritizing compliance with the IRB, privacy, and security responsibilities with regard to data; train new research staff as needed on timelines and process for maintaining consistency.
• Manage research activities and project requirements in close collaboration with multiple research partners. There are three Military Health System and three Veteran’s Health Administration sites for this study of health services delivery and supports for active duty members and veterans affected by spinal cord injury. We expect to have variable site contacts and coordinators, depending on the nature of stakeholder collaborations.
• Manage the secure transfer of data from military and VA sites to the UW, and to and from a transcriber
• Create a calendar for document submissions from research site project staff and investigators. Collect documents and review for completeness. If documents are not complete, work with investigators to complete, and when possible, take the lead in completing the documents.
• Assemble reports for funding agencies and investigators, and ensure timely submission; this includes writing summaries, formatting materials, completing forms as needed, and ensuring that documents align with project requirements.
• Serve as the central administrative resource for the research project, and answer inquiries from researchers, research partners, the Advisory Board, key informants, and graduate students concerning the research project. This requires a thorough understanding of the project’s goals and the status of study progress in order to answer most inquiries without having to refer them to investigators.

General Administration
• Manage the travel process for investigators to attend conferences and travel to research sites
• Manage teleconference calls and assist with scheduling Advisory Board and other meetings
• Collaborate with investigators and key informants to confirm project meetings and conference calls, with particular attention to the Principal Investigator’s availability
• Perform special tasks, as assigned

Minimum Qualifications:
• Bachelor's degree in public health, social sciences, or other related area of study
• Two years of project management experience
• Additional experience in a research or executive-level administrative support role
• Superior problem solving ability
• Demonstrated writing ability
• Excellent interpersonal, written and verbal communication skills
• Excellent analytical and organizational skills
• Proficiency with Word, Excel, and Outlook
• Ability to work under pressure with anticipated, unexpected, and changing priorities affecting workload management on a daily basis
• Possess a high level of professionalism, initiative, and ability to work effectively
• Use logic and reasoning to identify the strengths and weaknesses of alternative solutions, conclusions, or approaches to problems
• Must be flexible, adaptable, resourceful, and detail oriented

Equivalent education/experience will substitute for all minimum qualifications except where there are legal requirements such as license/certification/registration.

Working Environmental Conditions:

The incumbent is required to work on site at regularly scheduled intervals in order to attend project meetings and participate in planning. Desk space in the Department of Health Services will be shared and negotiated with the Principal Investigator, and a UW laptop computer will be provided. Teleworking and a flexible schedule is possible.
