Summary

Public Health – Seattle & King County is recruiting a Referral Coordinator for four family planning clinics, located in South King County (Kent, Auburn, Federal Way) and Bellevue to provide support to our clients in linking with follow-up care and assistance within our clinics and as well as with health and social service resources in our community.  Family planning clinics provide birth control, emergency contraception, STD testing and treatment, PrEP (HIV prevention medication), pregnancy testing and options counseling, HPV vaccination and breast and cervical cancer screenings that are free or low cost.

The Referral Coordinator is responsible for processing new referrals, assisting clients with obtaining financial assistance from insurance plans and community services, such as Breast, Cervical and Colon Health Program and the Washington State PrEP Drug Assistance Program, and obtaining insurance authorization. This position also tracks, contacts and schedules clients for follow-up services within the family planning clinic.  

Job Duties

  • Receives referrals from clinical teams and prioritizes the referrals, handling urgent referrals first. 
  • Verifies eligibility and effective dates of coverage for patients needing referrals.
  • Works with uninsured clients to complete charity care applications related to specialty care referrals.
  • Ensures that adequate information to establish the medical necessity for the referral is present; consults with providers when additional information is needed.
  • Communicates approval or denial of referral prior authorization to provider team and specialist as needed.
  • Communicates appointment date and time to patients and enters this information into the patient's electronic health record and the referral tracking database
  • Schedules appointments with specialists, diagnostic imaging, lab testing and other medical services as needed.
  • Transmits referral chart notes and other necessary information to specialist and other medical service providers.
  • Makes arrangements for clients who need interpreters and/or transportation to specialist or other medical service visits.
  • Enters referral data into referral database and abides by required data entry timelines.
  • Other duties as assigned by supervisor.

Experience, Qualifications, Knowledge, Skills

  • Commitment to providing access to comprehensive and inclusive sexual and reproductive health services, and connection to health care services covering all reproductive health options
  • Excellent customer service in person, on the phone and in written communication
  • Knowledge of the clinical services provided in an ambulatory care setting, knowledge of the specialty referral process
  • Knowledge of eligibility requirements for Medicaid and state-sponsored health care programs; working knowledge of charity care or patient assistance programs in King County and Washington State
  • Experience with tracking databases such as Microsoft Excel
  • Ability to work as a member of a team; skilled in interpersonal relationships and conflict resolution
  • Commitment to work with a diverse community of internal and external customers
 
DESIRABLE QUALIFICATIONS:
  • Knowledge of medical terminology and chart/medical record documentation as they pertain to an ambulatory care clinical practice, especially regarding sexual and reproductive health services
  • Knowledge of local and state organizations/agencies dealing with community health care and social services is desired
  • Bilingual in English and Spanish; as the locations in Bellevue and South King County serves a large Spanish-speaking population
