Summary


The Records and Licensing Services Division is seeking individuals who are passionate about customer service and are eager to work as part of dynamic team in an exciting Career Service position. These Deputy Recorder-Customer Service Specialist 3 positions provide you with the opportunity to demonstrate your direct customer service talent in an environment dedicated to trust, collaboration, and building rapport with your colleagues and customers.  

Our ideal candidates have demonstrated a high degree of commitment to customer service, learn quickly, and can produce innovative solutions to problems working in a fast-paced, high-volume office.  Our candidates will be flexible, have the ability to identify and develop efficient practices and procedures, and are patient and focused on listening to King County customers. We are looking for someone who has excelled in a team environment and is known for their energy, ambition, taking initiative and their positive, can-do attitude.
 
This posting will be used to fill positions currently open and to create a pool for future hires up to one year.

 Scope of Job Duties: To be considered for this opportunity, you must at a minimum demonstrate skill and ability to: 
 

  • Process marriage license application data; email and document records management; mail sorting, filing and phone support;
  • Have high proficiency in adapting to new software systems.
  • Provide accurate guidance on the phone, in person, and via mail advising customers of documents and other information required;
  • Have strong comprehension and problem-solving skills with the ability to troubleshoot quickly and correct errors, be detail oriented and work with a high level of accuracy;
  • Assist in administrative duties including: Filing, sending letters, and making copies.
  • Examine documentation for legal requirements;
  • Provide accurate information about policies, procedures, codes, and regulations; 
  • Problem solve and research with limited guidance and approach tasks with energy and a sense of urgency in situations that require a quick turnaround while providing exceptional customer service to all stakeholders in person, on the phone, and via mail;
  • Ability to work collaboratively with others on the team and in and outside of the department.
  • Commitment to providing excellent customer service through effective verbal and written communication.
  • Ability to build rapport with a variety of people through active, attentive listening, and respect for differing backgrounds and points of view. 
  • Ability to receive feedback with grace and introspection and incorporate it into making meaningful changes. 
  • Ability to learn quickly when facing new situations and opportunities and handle tough situations. 
  • Obtain, monitor, track, and organize data that may require information searches through files, policies, procedures, records, or computer files while being highly detailed;
  • Collect and process payments, verify and reconcile data discrepancies and balance daily cash in compliance with the County and State cash handling and receipting procedures;
  • Contribute to the RALS team by bringing your innovative ideas and "can do" attitude!

You would be great for this role if you: 
 
  • Are able and confident in your ability to interpret, apply, and follow rules, regulations, codes, laws, policies, procedures, and ordinances;
  • Are comfortable with change and continuous improvement in your daily work;
  • Have an intermediate or higher level of expertise with Microsoft Office (especially Excel) as well as accurate cash handling skills;
  • Can coordinate a high volume of diverse assignments and multiple competing priorities with a strong attention to detail and follow-up;
  • Are passionate about serving King County’s diverse community; 
  • Have excellent communication and customer service skills in order to successfully communicate with a wide audience in varied communication settings; and 
  • Have patience and adaptability in handling heavy workloads.
What you need to know:
 
  • The work week is 40 hours, typically Monday – Friday 8:00 am – 5:00 pm.
  • This position is overtime eligible and may be mandatory at times.
  • This position is represented by the Teamsters Local 117 Administrative Employees union.
  • By contract, this position will participate in the Western Conference of Teamsters Pension Trust (WCTPT) contributions. .50 cents per hour will be deducted from members’ hourly rate. This deduction is reflected in the rates provided on this posting.
