Clerical:
* Performs general office duties and day to day administrative tasks * Scheduling appointments, meetings and conference calls for the Director and HIS Team * Attends meetings as requested to record minutes * Provides clerical support to the HIS Team
Communication:
* Answers incoming telephone calls, assists customer or directs call to appropriate personnel; takes messages if necessary * Updates and maintains HIS intranet page and departmental information * Communicates with Physicians and Coroners for completion of death certificates
Budget:
* Accountable for maintaining departmental budget expenses * Orders and maintains departmental supplies/information (i.e. education, dues, subscriptions) * Reconcile general ledger with invoices paid for sub accounts * Assists Director in preparing, submitting and implementing the annual budget information
Customer Service:
* Greets visitors in a professional and courteous manner
Recordkeeping/Reporting:
* Prepares minutes from required/requested meetings * Assists with verification of time cards * Data retrieval and reporting, entering data as necessary for presentations, reports, spreadsheets, and other projects/tasks as required * Compiles death report and submits to Mississippi State Department of Health monthly * Updates and maintains the death register * Completes all death certificates for inpatients, outpatients, Emergency Services Department and inpatient hospice units * Ensures that death certificates are mailed in a timely manner * Complete Health Issue for meaningful use measurement in Sunrise Clinical Manager (SCM) for each recorded death
Regulation:
* Adheres to NMHS/NMMC Policies/Procedures/Guidelines * Complies with appropriate Local/State/Federal policies/procedures/guideline/regulations/laws/statues
Requirements:
* High School Diploma or equivalent; required/Associates Degree in Business or related field; preferred * Minimum of 3 years' experience as an Administrative Secretary/Assistant or Office Coordinator; required/Healthcare or large office setting; preferred * Certified as a Notary Public in the State of Mississippi; required * Must possess strong clerical and organizational skills; required * Strong written and verbal communication; required * Working knowledge of personal computers (PC) and Microsoft Office applications (i.e. Word, Excel, Outlook) * Working knowledge of webpage development and maintenance; required * Proficient in use of Microsoft Word, Excel, and Power Point; required * Knowledgeable of Mississippi State Department of Health rules and regulations for completing death certificates; required * Proficient in the use of various office equipment; required * Strong interpersonal skills; required
