The primary role of the Simulation Operations Coordinator is to provide day-to-day support for the UMKC School of Medicine’s Clinical Training Facility (CTF) operations at all locations operated by the CTF, including being the primary on-site contact for simulation activities at the School of Medicine’s St. Joseph campus. This position will work with the Simulation Operations Manager to oversee simulation events at all locations. Tasks include set-up and tear-down for events; preparation, maintenance and repair of simulation and medical equipment, and related multimedia (audio/visual) peripherals; equipment inventory; providing direction to learners, faculty, and standardized patients during exams and simulation activities; and monitoring access and activities in the facility. The primary working location for this position will be at the Kansas City, MO campus, with occasional travel to the St. Joseph campus as needed. Mileage reimbursement is provided, and travel time is paid.
Duties & Responsibilities:
· Administrative
o Provide on-site support for all simulation activities at School of Medicine St. Joseph Campus.
o Maintain regular operating hours for the CTF or locations it operates in the Health Sciences District. Flexibility may be required for events that occasionally start before 8:00 am or end after 5:00 pm.
o Lead execution of the operations portion of all simulation events occurring at the CTF or lead by the CTF team at other locations. This includes working with Simulation Operations Manager and CTF staff to ensure all events have a plan for simulation operations in place that aligns with center policy and procedures.
o Create an equipment list for scheduled scenarios to support preparedness and seamless execution of simulation event.
o Assist Operations Manager with pre-event documentation and schedule reminders to faculty and program coordinators.
o Assist leadership in creating or revising policies and procedures related to simulation and assessment operations.
o Work with Operations Manager to lead or execute special projects.
o Create and maintain a welcoming environment in the Clinical Training Facility, by greeting every patron and helping in identifying, locating, and using the CTF and associated materials.
o Facilitate execution of the Office of Admissions events or other special events; This includes developing and leading tours and simulations appropriate for this learner group.
o May be asked to provide direct supervision for student employees or work studies including training, assigning tasks or responsibilities, and monitoring work performance.
o Maintain database tracking center usage.
· Simulation Lab Operations
o Develop technical proficiency with all aspects of operations, support, maintenance, trouble-shooting and minor repair of simulation equipment and related technologies.
o Maintain an inventory of supplies and equipment, conduct routine inventory updates, restock, and re-organize supplies. Ensure supplies needing ordering are reported to Operations Manager in a timely manner.
o In accordance with University and CTF policies and procedures, implement hardware and software updates.
o Ensure the proper maintenance of all equipment in accordance with CTF policies and procedures.
o Execute daily set up and tear down for simulation educational activities and assessments, including those that support the standardized patient program. This includes events that are CTF sponsored but may occur at other locations.
o For a single event the SOC is expected to be on site, facilitate all technology and equipment to ensure they are functioning and available, ensure faculty are supported, ensure faculty and learners complete necessary sign-in, paperwork, and have access to necessary assessments.
o Support the Standardized Patient program including but not limited to: event set-up and tear down, SP moulage, SP and/or student rotations.
o Program scenarios for simulation events.
o Perform moulage and staging for simulation events.
o Execute quality improvement and safety processes to ensure the CTF, rooms, and equipment are in regular working order, clean, and stocked. This includes completing daily rounding worksheets ensuring operations team executes this in accordance with policies and procedures.
o Run the simulation equipment and other technologies for educational activities and assessments.
o Train and educate others (faculty, staff, students) on the use of equipment and software.
o Lead faculty development, student elective didactic, and simulation interest group didactics that are relevant to job role such as: simulator operations, moulage, creation of skins and molds.
o Interface with the equipment manufacturers regarding trouble-shooting equipment, systems problems, and implementing hardware and software updates.
o Develop innovative ways to adapt, reuse, and maximize equipment usage.
o Carry out other special projects designated by the center leadership.
o Orient and train new simulation operations specialists, student employees, and or work studies in accordance with CTF policies and procedures.
o Lead faculty and staff development relevant to simulation operations and use of equipment.
o Train and (or directly supervise as applicable) direct reports, part time or contract employees, students, fellows to ensure work or educational activities is carried out in accordance with goals/objectives or expectations as well as CTF policies and procedures.
· Assessment Activities
o On the date of the event, assist responsible faculty and CTF members with ensuring assessments are in CAE system, tested, and ready for implementation.
o Assist students, SPs, and faculty with accessing assessments during events.
o Ensure all events with recordings are properly done, set up in the system, and available to all relevant parties (students, staff, instructors, and/or course directors or the responsible faculty member).
