The HR Shared Services Specialist will work as part of a team providing support to the entire employee population to complete the following activities:

Essential Duties:

  • Responds to customer inquiries within established timeframes, by researching and resolving technical and functional issues and responding to content questions and requests.
  • Escalates complex issues to internal Total Rewards team members, appropriate HR functions and business partners, Payroll, IT, HRIS or external vendors to ensure appropriate and efficient resolution of inquiries.
  • Maintains employee data by updating employee records in Oracle and managing employee files.
  • Monitors the HR Services and HR Benefits shared e-mail boxes, cases submitted through the HR Benefits Portal, submitted by IT and voice mails and follows up for completion.
  • Collaborates with the Supervisor, HR Shared Services and benefits team to support annual open enrollment, benefit updates and/or employee wellness initiatives. This includes but is not limited to assisting with new benefit plan implementations, preparing communications, and providing education to customers.
  • Educates employees on employment status changes, general benefit plan offerings and electronic benefit enrollment procedures.
  • Provides reporting and analytical support for weekly and annual audits, case management and error resolution activities.
  • Assists and encourages users to make effective use of HR self-service technology, outside vendors or other resources as appropriate.
  • Works with vendors to address escalated concerns and inquiries from employees and managers.
  • Participates in process improvement initiatives, including testing and documentation of change efforts.

Education:

  • High school diploma required. Bachelor’s degree preferred.

Experience & Knowledge:

  • 2+ years of experience in a fast-paced, high volume, customer-focused environment. HR experience highly preferred.
  • Handles sensitive & confidential matters with discretion.
  • Must be detail-oriented and organized, with the ability to prioritize & complete work with a high level of accuracy.
  • Demonstrated analytical and problem solving skills.
  • Drives efficiency and manages scale without jeopardizing the employee experience.
  • Ability to function independently and collaborate as a team player to accomplish goals.
  • Must have strong written, verbal & interpersonal communication skills.

Special Skills & Equipment Knowledge:

  • Proficient in Microsoft Office suite (Word, Excel, PowerPoint & Outlook) required.
  • Advanced skills in Excel strongly preferred
