Job Description

The School of Education is seeking an individual to fill the position of Administrative Support Analyst. This position provides administrative support for the School of Education through teaching load verification and entry, SPOT administration, and administrative support for the Associate Director for Faculty Affairs.

Responsibilities include, but are not limited to: Offering support to ensure efficient operation of the office of faculty affairs via a variety of tasks related to organization and communication. Preparation of the SOE faculty teaching load for the curriculum courses and variable credit course load each semester for on and off campus. Coordinating with program staff for the collection of faculty's variable credit course data. Entering the verified data to create the faculty variable teaching load each semester. Providing a final SCH report for each faculty member for each semester. Maintenance of the list of the SOE "fixed variable" (FV) courses (graduate seminars; problem and topics courses; special studies courses, etc.) each semester. Providing a list of "FV" courses missing from the nonvariable course load each semester to the University Registrar's Office. Reviewing the "FV" courses annually for frequency offered and enrollments. As SPOT Administrator, coordinates the SPOT evaluation process for the School of Education. Prepares the SPOT course verification report for each semester to verify each course has been included and also remove courses and data that should not be included. Maintains the list of the SOE courses "Opt In or Opt Out" for the SPOT process. Prepares final SOE SPOT administrative summary report each semester. Serves as liaison for the SOE with the University Registrar's Office and other University departments for the teaching load and the SPOT evaluation preparation. Collaborates with other personnel in our Office of Academic Programs to resolve any problems for students with course registration so these changes can be resolved before census.

Required Qualifications

Working knowledge of office practices and procedures.
Background in organizational, planning, interpersonal and communication skills.
Ability to use personal computer.
Proficient in the use of Microsoft Office, and other software as needed.
The ability to interact with others in resolving problems.
The ability to consistently exercise sound judgment in the leadership and supervision of others and the ability to develop, interpret and implement a variety of complex university policies and procedures.
Working knowledge of University policies and procedures.
The ability to work under stress with frequent interruptions and meet rigid deadlines.
Proven experience as an office assistant, or another relevant administrative role.
Thorough knowledge of office management procedures.
Excellent organizational and time management skills.
Analytical abilities and aptitude in problemsolving.

Preferred Qualifications

Proficient in the use of the VT Banner system.
