This position is a unique opportunity within Public Health to be a member of the team who supports users of the Microsoft Vaccine Management System (MVM), the software system used for registration, scheduling, and documenting the administration of COVID-19 vaccinations at Public Health – Seattle & King County vaccination sites.  

This recruitment is for an Administrator III, Special Duty Assignment (SDA) or Term-Limited Temporary (TLT) on the MVM Support Team, in the Community Health Services Division.  Assignment is for approximately 8 months until June 2022. Incumbents will support the MVM system and MVM users. This position plays a key role by providing a high level of customer service, maintaining quality standards, creating training materials, training users, testing the system during upgrades and troubleshooting problems.

Job Duties

  • Perform MVM application support on the phone, in person, and via email and Teams. 
  • Assist MVM users with issues including troubleshooting complex problems.
  • Consult with site staff to develop standard optimized workflows within MVM. 
  • Assist with new software version implementation, including testing and reporting of issues.
  • Develop job aids and video recordings and keep all MVM training materials updated.
  • Assess training needs, conduct staff training and track user training. 
  • Write and send out communication to end users, alerts for system issues, resolution.

Experience, Qualifications, Knowledge, Skills

  • Experience using Microsoft Vaccine Management System (MVM) – or - experience supporting an Electronic Health Record System.
  • Demonstrated skill in critical thinking, analysis and problem solving, quality improvement and assurance. 
  • Ability to produce high quality, succinct training documents with technical instructions combining written text with screenshots in Microsoft Word (job aids).
  • Demonstrated commitment to customer service.  
  • Experience using Microsoft Office including Teams, Outlook, Word, Dynamics 365
  • Demonstrated ability to communicate effectively verbally and in writing to explain technical concepts in non-technical language. 
  • Demonstrated ability to handle multiple priorities effectively.
  • Demonstrated skill at working collaboratively.
  • Follow through and accountability in completing work and meeting deadlines.
  • Work in a sometimes-high pressure environment while maintaining composure

Work schedule
This position is exempt from the provisions of the Fair Labor Standards Act, and is not overtime eligible. This work includes on call and after-hours support, as well as weekend and holiday work. 
 
Work Location and Telecommuting

This position will be located in Downtown Seattle in the Chinook Building. However, due to COVID, employees on this team are working remotely, with occasional onsite location work and travel to King County vaccination site locations.


Employees will have access to shared workspaces at various King County facilities. Employees must reside in Washington state and within a reasonable distance to their King County worksite to respond to workplace reporting requirements.
 
Employees will be provided with a County issued laptop and must maintain a workspace with an internet connection (access may be supplemented in some situations) where they can reliably perform work and remain available and responsive during scheduled work hours. Please note that when an employee conducts work that is likely to bring them in contact with another individual, safety precautions are required, including the wearing of masks in some situations. King County is doing its part to reduce the spread of COVID-19 and remains committed to reducing our carbon footprint.
