Position Title ADMINISTRATIVE ASSISTANT
Position Summary
The position is located in Troy/Detroit, Michigan and works with the Federally Funded Pre-College Programs serving the Detroit Public Schools Community District and Charter Schools. This position works closely with the Project Director to plan and implement special events and programs, manage budgets, and provide information about program to parents, students, faculty, staff and general public. Responsibilities include office administrative support services including record keeping, data entry, filing, maintaining files, completing invoices, budget assistance and other related duties. This job requires a level of independence to respond to requests from the Project Director within defined grant regulations, guidelines and procedures.
Required Qualifications
High school diploma or GED.
Two years of qualifying experience or a combination of education and experience that equates to two years.
Experience with Microsoft Word.
Customer service experience.
Organizational skills with strong attention to detail.
Demonstrated positive interpersonal skills.
Demonstrated ability to manage confidential information.
Effective verbal and written communication skills.
Ability to project a positive attitude.
Ability to manage multiple projects and meet deadlines with accurate results.
Ability to compose, proofread and edit correspondence.
Ability to perform the essential functions of the position with or without reasonable accommodation.
Preferred Qualifications
Experience working with TRIO and/or high school programs.
Experience and comfortability in working with diverse students, parents and community members in a high school setting.
Bilingual English/Spanish with ability to read and write.
Spreadsheet and/or database experience.
Experience working with budgets and financial reports.
Budget management experience.
Duties & Responsibilities
Provides excellent customer service to stakeholders.
Provides clerical support to Project Director and staff including scheduling appointments, meetings, and events, preparing routine correspondence, creating spreadsheets and reports and screens telephone calls.
Distributes mass communication regarding program activities.
Prepares and provides monthly budget reports to Project Director.
Maintains financial records and reconcile accounts.
Manages budgets, verifies expenditures and pays bills; and resolves payment issues.
Works with Project Director to ensure funding for each event is available and assists in determining budget for fiscal year.
Processes business office documents for purchasing, travel, payroll, accounting, printing, etc.
Assists with completing a section of the Annual Performance Report that is submitted to the Federal DOE.
Responsible for data entry and maintaining and updating student files.
Assists in maintaining updated information for current and prior project participants’ files.
Purchases supplies and maintains adequate inventory for offices.
Takes initiative to coordinate various office functions to ensure efficiency.
Must be available to travel to CMU campus for trainings and meetings.
Maintains program database.
Other duties as assigned.
