Our Strategic Partnerships and Analytics (SPA) Team is looking for a “go to” person that is skilled in providing administrative and technical support to our entire Procurement and Payables section.  Scope of Job Duties: To be considered for this opportunity, you must at a minimum, demonstrate knowledge, skill and ability to:
 

  • Act as main point of contact “go to” person for the P&P section via phone, email and in person.
  • Provide outstanding customer service and communicate effectively with our diverse internal and external customers.
  • Provide administrative and technical support to section staff by processing high volumes of complex documents in a fast-paced environment.
  • Research financial and contract records and electronic databases, enter data into customized databases, Excel workbooks and electronic databases to manage data
  • Support our passion for continuous process improvements.
Minimum Qualifications:

  • Administrative Experience in a high volume environment that includes editing documents, drafting letters and email communications; preparing legal documents, statements, and notifications; organizing, preparing, and maintaining records and reports with a keen attention to detail and accuracy. 
  • Customer Service Experience in a high volume environment that includes providing customer service as a main point of contact for a group via phone, email and/or in person that includes troubleshooting and resolving issues.  
  • Technology Skills that include Intermediate level proficiency using MS Office Productivity tools in your daily work 
  • Time management skills that include the ability to organize your work, manage your time, and adapt to changing priorities, work on multiple priorities and projects simultaneously, meet quick deadlines, and produce timely and quality work products
  • Strong communication, interpersonal, and writing skills
  • Enjoy working collaboratively in a team environment 
  • Are able to think differently and challenge yourself to improve processes
  • Ability to uphold our Division’s values
  • Ability to work in a remote work environment
We would love it if you:
  • Advanced level technical skills in Microsoft Word, Excel, Outlook, and SharePoint; ability to use and be creative with Adobe Acrobat
  • Familiar with automated payment/procurement system such as Oracle
  • Experience with LEAN processes and principles
  • Experience with SharePoint, MS Teams and other collaborative online tools

Other Position Information:
This position is non-exempt (hourly) from the provisions of the Fair Labor Standards Act and is therefore overtime-eligible.  Employees are paid on a bi-weekly schedule, every other Thursday, comprising a 40-hour workweek; normally 8:00 a.m. - 5:00 p.m., Monday through Friday.  This position is represented by Teamsters Local 117 labor union.
 
The work associated with this position will be performed mostly in a remote environment with an occasional day in the office based on business needs.
 
Employees will be provided with a County issued laptop and must maintain a workspace with an internet connection where they can reliably perform work and remain available and responsive during scheduled work hours.  

Employees must reside in WA state and within a reasonable distance to their King County worksite to respond to workplace reporting requirements.  There will be situations where the employee is required to report to a County worksite.  Please note that when an employee conducts work that is likely to bring them in contact with another individual, safety precautions are required by the department in alignment with the Public Health Directive from the Seattle & King County Public Health Officer.
