Summary

The Chronic Disease and Injury Prevention (CDIP) Division of Public Health | Seattle & King County is seeking to hire a  Term-Limited Temporary (TLT) Administrative Specialist II to join the the Administration and Finance Team!

The Administration and Finance Team supports the combined sections that consists of: Assessment, Policy Development, & Evaluation (APDE), the Chronic Disease & Injury Prevention (CDIP), and Communities of Opportunity (COO). The Administrative Specialist II is responsible for a wide variety of office support, conference call set-up, and excellent customer service.  Tasks may include answering phones, data entry, drafting and editing documents such as letters, memos, and spreadsheets as well as scheduling and calendar management.  This position serves as an integral part of the Administrative team and serves as a key role in supporting multiple work projects and programs within the combined sections.  The ideal candidate will enjoy working with diverse individuals and teams; has strong interpersonal and communication skills; has strong organizational skills; brings creativity and savvy to finding solutions; is self-motivated; and is strong at multi-tasking and detail oriented.

Description of APDE/CDIP/COO 
 
Public Health’s Assessment, Policy Development, and Evaluation (APDE), Chronic Disease and Injury Prevention (CDIP), and Communities of Opportunity (COO) works to advance health equity through its policy and systems work, health prevention and promotion efforts, and data/evaluation activities.  The basis of our equity work is a commitment towards becoming an anti-racist system. Operationally, the sections are jointly administered and managed.
 
The Assessment, Policy Development and Evaluation (APDE) unit is a nationally recognized leader in community health assessment, providing health assessment data and analysis to inform planning, programs, and policies; and conducting evaluations of regional and local efforts aimed at improving the health of King County residents.
 
Chronic Disease and Injury Prevention (CDIP) works with community partners, providers, and other stakeholders on the prevention of the leading causes of death and disability (i.e., healthy eating/active living, tobacco and youth marijuana prevention, and violence and injury prevention) to create conditions that promote equity and lead to healthier community conditions.  CDIP also provides programs to address breast, cervical and colon health, and supports the use of community health workers in addressing asthma and other health conditions.
 
Communities of Opportunity is a unique public/private/community-based partnership that aims to create greater racial, economic, and health equity that enables all people in King County to thrive and prosper by investing in place and culturally-based communities, policy and systems change, and learning communities.

Term-Limited Temporary positions are "at-will" positions but are eligible for benefits. This TLT is currently anticipated to last for six (6) months to one (1) year. However, funding sources for this work remain uncertain and dependent upon decisions actively being made at both the federal and local levels. As a result, the end date of this position may be adjusted based on those decisions. The County and the Department continue to work to secure long term funding sources.

For Special Duty Assignment interest, you must be a Career Service, Career Service Exempt or other regular (non-temporary) employees in King County who have completed their initial County probation. You must have supervisor approval prior to taking a Special Duty Assignment.

Work Schedule: 

Monday – Friday 40-hour work week.  
 
The work associated with this position will be performed predominantly by teleworking; complemented with onsite work and meetings as needed. Employees will have access to shared workspaces at various King County facilities.  Employees must reside in Washington state and within a reasonable distance to their King County worksite to respond to workplace reporting requirements.
 
Employees will be provided with a County issued laptop and must maintain a workspace with an internet connection (access may be supplemented in some situations) where they can reliably perform work and remain available and responsive during scheduled work hours. Please note that when an employee conducts work that is likely to bring them in contact with another individual, safety precautions are required, including the wearing of masks in some situations. King County is doing its part to reduce the spread of COVID-19 and remains committed to reducing our carbon footprint.

Job Duties

  • Provide administrative program support for multiple sections; compose, proofread and edit a variety of documents including: general correspondence, agendas, and reports; create spreadsheets; schedule meetings and secure locations; copy, file, mail, fax, and archive documents.
  • Support the transition from shared network drives to SharePoint for document management and retention, attending to SharePoint best practices in how documents are organized and tagged
  • Answer and direct telephone calls, document and route calls appropriately; respond to general questions; provide accurate program information to internal and external customers. 
  • Maintain and monitor Outlook calendars to coordinate meetings.
  • Order, track, and organize inventory and unit supplies. Coordinate pickups and deliveries as needed.
  • Responsible for purchasing, records entry and reconciliation of P-card transactions processed through Oracle iExpense.
  • Process mail by retrieving, opening, sorting, and attaching related documents for distribution. 
  • Maintain and update various lists, records, and files using Access, Excel, and other databases assuring data is retrievable and properly archived. 
  • Operate standard office equipment including personal computer, telephone, fax machine, label maker, printers and scanners. Responsible for coordinating maintenance of community office equipment and coordinating the removal of surplus items.
  • Ensure sensitive and confidential information is kept private and secure; adhere to department policies and procedures. 
  •  Other duties as assigned.

  • Demonstrated ability to provide excellent customer service with discretion, patience, and professionalism, in person and over the phone.
  • Strong interpersonal, conflict resolution and problem-solving skills. 
  • Demonstrated ability to provide administrative support to multiple program areas; manage competing demands and ensure office needs are met; prioritize workload while meeting critical deadlines and maintaining accuracy of work. 
  • Demonstrated ability to maintain electronic and hard copy documents and files, databases and logs, and accurately enter and track data. 
  • Demonstrated ability to communicate effectively orally and in writing; establish and maintain effective working relationships with a diverse range of staff, community partners, and the general public; handle difficult interpersonal interactions with discretion and diplomacy; and work both independently and as a member of a team. 
  • Demonstrated ability to create, update, and maintain program databases and logs; accurately enter and track data; and generate reports. 
  • Demonstrated ability to work in an Office 365 environment and use Microsoft products to complete assigned tasks, including: SharePoint for document management and retention, Word for word processing, Excel for spreadsheet creation, maintenance, and reports; and Outlook to communicate with clients and staff. 
  • Demonstrated ability to prepare for meetings which include setting up PowerPoint presentations, virtual meetings via Teams and Zoom, copying and preparing packets for meetings.
  • Skilled in the use of office equipment (e.g. multi-line telephone, fax machine(s), scanner, copier, and printer(s).
