The jobholder advises students regarding financial aid applications, awards, satisfactory academic progress policies, loan default aversion, and miscellaneous matters. 
Duties/Functions
  •  Advise students regarding eligibility for all federal, state and local financial aid programs within the requirements of federal and state regulations, by telephone, email, and in person, using the college’s computer software program (Ellucian Colleague).
  •  Review and verify student files as selected by the Department of Education for the verification process
  •  Assist in the administration of procedures and practices to assure compliance with federal regulations and audit requirements as specified by the United States Department of Education, the North Carolina Educational Assistance Authority, and the North Carolina Community College System.
  •  Award federal and state financial aid to eligible students upon completion of ISIR download or individually once verification process or loan acceptance form review is complete.
  •  Recommend policy and procedural improvements to the Director, as need arises.
  •  Effectively work with other college constituents as necessary to coordinate outside resources and other financial aid-related activities.
  •  Actively serve on college committees.
  •  Demonstrate and model College’s employability skills: adaptability, communication, information processing, problem solving, responsibility and teamwork.
  •  Perform all duties as assigned by supervisor.
Difficult Challenges
  • Time management decisions with volume of students to assist 
  • Volume of students at peak times means less time per student which impacts quality of service 
  • Keeping abreast of Federal, NC regulations
Contacts
  • Daily: Supervisor re: updates, assignments, advice and assistance on escalation 
  • Daily: colleagues re: advice, assistance, consultation in area of specialty 
  • Daily: students re: advice on financial aid 
  • Weekly: Business Office re: verifying balance due in Financial Aid / business office holds 
Education Required
  • Bachelor’s degree from a regionally accredited post-secondary institution 
Education Preferred Experience Required
  • One year of financial aid experience 

Experience Preferred
  • Two years of financial aid office experience
  • Ellucian Colleague experience

KSA Required
  • Knowledge of federal and state financial aid regulations and ability to interpret rules and regulations. 
  • Ability to maintain accurate and auditable financial aid records; 
  • Ability to participate as a team member
  • Ability to readily adjust to change. 
  • Ability to use a personal computer, including basic knowledge of MS Office
  • Excellent oral and written communication skills; 
  • Ability to maintain confidentiality of students’ records; 
  • Ability to work effectively with students, faculty, and staff; 
  • Ability to work independently with a high degree of accuracy, attention to detail, and ability to meet deadlines. 
KSA Preferred
  • Knowledge of  Ellucian Colleague 

Department/Job Specific Requirements
The following training is required and must be completed within the first 6 months of hire.  Plus, some training will need to be completed annually or as frequently as required by the certifying agency, if noted below.
Safety Related Training:
  • Automatic Electronic Defibrillator/CPR – As required by the Certifying Agency
  • Bloodborne Pathogens – Annually
  • Emergency Action Plans\Emergency Equipment (incl. Fire Extinguisher) – Annually
  • E-Vac Chair – Annually
  • First Aid – As required by the Certifying Agency
  • Reporting Requirements – Annually

The following (compliance) training is required and must be completed within the first 30 days of hire with annual refresher training thereafter: 
• Ethics 
• Safety/Shooter on Campus 
• Personal Information Protection Training (PIP) 
• Anti-Discrimination/Harassment& Title IX 
• Other training may be required as determined applicable.

  • Ability to work a flexible schedule as determined by the supervisor to cover the necessary hours.  Registration, graduation, and other heavy work periods will require additional hours.  Evening and weekend work may be required.
  •  Must be able to maneuver independently among offices, buildings, campus locations, and off-site locations as necessary to complete job requirements.
  • Physical requirements include those for general office employment, such as: sitting, standing, keyboarding, and light lifting (of up to approximately 25 pounds).
