As a Senior Executive Assistant this role supports System Chief Nursing Executive and the nursing enterprise through superb organization skills, excellent communications, proactive planning and managing multiple priorities.

 

  • Screening visitors
  • Preparing reports,
  • Filing and organizing documents
  • Recording meeting minutes
  • Answers and places phone calls in a prompt, courteous and helpful manner; Handles messages accurately and timely
  • Organizes and coordinates meetings within specified time frames
  • Ensures the flow of information in a timely and accurate manner
  • Uses a courteous tone when communicating in person or by intercom
  • Makes travel plans and arrangements
  • Able to reset priorities in a fast-paced environment
  • Finalizes all meeting arrangements
  • Promptly refers requests for information or services if unable to meet the request

Provides operational support:

  • Types/transcribes/processes documents with at least 98% accuracy on the first draft; Increases accuracy to 100% for final draft within required timeframe
  • Creates templates for reports as needed.
  • Proficient in Microsoft applications and willing to further advanced knowledge of other UH applications.
  • Processes requests for reimbursement in a timely manner
  • Ensures the security of confidential information in own work area
  • Prioritizes workload
  • Can quickly shift priorities to accommodate needs of CNO and/or UH Senior Leadership
  • Establishes and maintains files by collecting all necessary information/documents
  • Performs general office duties as needed
  • Maintains an organized work area with appropriate supplies
  • Willingly provides back up support for other staff as necessitated by deadlines, emergencies and absences
  • Identifies own need for assistance and enlists help as needed
  • Initiates and maintains positive relationships with customers and co-workers
  • Takes responsibility for self-development and supports a learning environment
  • Displays commitment to the mission of the hospital and its values

*This role may encounter Protected Health Information (PHI) as part of regular responsibilities. UH employees must abide by all requirements to safely and securely maintain PHI for our patients. Annual training, the UH Code of Conduct and UH policies and procedures are in place to address appropriate use of PHI in the workplace.

Education/Expertise:

  • High School diploma or GED required.
  • Degree preferred.

Experience & Knowledge:

  • Minimum 5 years of experience in an administrative support/secretarial/related position required.
  • Experience supporting an executive strongly preferred.
  • Development experience strongly preferred.
  • Must be detail-oriented and organized, with good analytical and problem solving ability.
  • Notable client service, communication and relationship building skills required.
  • Ability to function independently and as a team player in a fast-paced environment required.
  • Must have strong written and verbal communication skills.
  • Excellent typing skills required.
  • Demonstrated ability to use PCs, Advanced Microsoft Office suite knowledge, and knowledge of general office equipment (i.e., printers, copy machine, FAX machine, etc.) required.
  • Oracle and Kronos experience preferred.
  • Ability to cope with stressful situations and adjust to varying workloads required.
