The Administrator position is responsible for executing the daily operations of group retirement programs: defined benefit/pension, defined contribution/401(k) and non-qualified deferred compensation

Essential Functions, Responsibilities, or Job Duties

  • Administer pension calculation process using customized calculation system/database; create and deliver benefit election packages for current and terminated employees; coordinate process with retiree through commencement
  • Calculate final benefits for newly terminated vested population; create and deliver final statements
  • Contact for employees and HR representatives for retirement plan-related questions and issue resolution
  • Audit weekly employee 401(k) contributions and loan repayments and biweekly non-qualified deferred compensation plan contributions to payroll; electronically upload data files to administrator’s site
  • Audit monthly pension data file from payroll system and coordinate corrections; coordinate upload from Payroll department
  • Reconcile the 401(k) and non-qualified deferred compensation plan contributions to payroll ledgers on a monthly basis; research discrepancies and coordinate corrections with Payroll and Finance departments
  • Peer review pension calculations done by other team members
  • Maintain integrity of participant pension data and files

Additional Responsibilities

  • Assist with external financial audits for pension and 401(k)  
  • Assist with annual filing of Forms 5500
  • Work with 401(k) recordkeeper on annual required minimum distributions and deminimus distributions
  • Provide back-up for other team members
  • Perform other related duties as required and assigned

Qualifications

  • Knowledge of company-sponsored retirement benefit plans and related legal compliance requirements
  • Excellent analytical, organizational, and time management skills
  • Ability to work independently and with initiative
  • Proficient with Microsoft Office suite, primarily Excel or similar spreadsheet product, and the ability to use broad functionality within Excel (i.e., equations, pivot tables, v-look-ups, etc.)
  • Experience in pension calculation systems helpful, but not required
  • Must be able to communicate with and work effectively and professionally with internal customers at all levels of organization, as well as external vendors, service providers, and retirees
  • Experience working effectively within a large, multiple-location structure
  • Consistent attention to accurate detail
  • Strong customer service focus and protection of integrity within the HR function
  • Ability to handle confidential material
  • Ability to coordinate multiple activities within required deadlines
  • Computer literacy, including experience with an HRIS system
  • Ability to communicate verbally and in writing in Spanish language is a significant advantage

Education & Experience

  • 4-year degree with concentration in a field related to human resources, or equivalent combination of education and successful business experience; HR professional designation a plus
  • Four (4) to six (6) years of related experience.
