Program Assistant, Behavioral Health

 

SCOPE OF ROLE

Reporting to the Manager, BH Services the Program Assistant, Behavioral Health will be a key asset to the success of the team by directing and coordinating the day-to-day operations of the Behavioral Health clinics. You will lead by example and make decisions to continuously improve productivity, quality, and efficiency of BH operations. The Program Assistant, BH will oversee BH functions that includes the scheduling of providers, training new team members, analyzing data, creating reports, overseeing inventory management, and promoting positive relationships.

 

HOW YOU’LL SUCCEED ____________________________________________________________________

·       Manage Provider schedule templates, time-off requests and timecards in coordination with the Manager, BH Services, while ensuring BH operations are staffed appropriately.

·       Responsible for coordinating, documenting, and scheduling routine or special meetings/events including preparing agendas, meeting minutes, and arrangements for food/beverage services.

·       Assist with preparation for CARF, OSV, FTCA, and other regularly audits.

·       Create, edit, and distribute marketing materials related to Behavioral Health services or programs.

·       Assist with health fairs and special clinic coordination at off-site locations.

·       Assist with implementation of new clinic openings and clinical services as needed.

·       Coordinate special scheduling support as it relates to scheduled trainings and meetings that require coverage to allow for attendance of Psychiatric and BH team members.

·       Execute process for proactive management of BH service supply needs; conduct quality checks and inventory management, including scheduling of deliveries.

·       Orient and train new and current team members on office protocols and job responsibilities within broader clinical systems.

·       Build, promote, and ensure positive relationships at all levels within Signature Health.

·       Respond to patient complaints and incidents in conjunction with relevant staff and necessary.

·       Communicate and collaborate with other departments, providers and staff to encourage and foster actions that meet patient needs and achieve outcome goals.

·       Coordinate and support BHMH implementation and maintenance, including preparation of application documents.

·       Participate as a member of various committees related to the overall improvement of the organization.

·       Recommend operational BH improvements; meets with team members, supervisors, and providers to assess, design, and implement programs and processes to increase efficiency.

·       Prepare reports regarding clinical efficiency; analyze data.

·       Support clinical document development, formatting and maintenance (ex. Clinical practice guidelines, workflows, process maps, external referral forms).

·       Comply with all agency policies and procedures.

·       Maintain all aspects of HIPAA, promoting patient confidentiality and right to privacy.

·       May be required to perform telehealth services as determined by Signature Health.

·       Adherence and completion of compliance training provided by Signature Health.

·       Responsible for and completes all productivity/documentation requirements.

·       Participate in all assigned staff meetings and staff development programs.

·       Demonstrate appropriate attendance and punctuality in adherence with Signature Health policies.

·       Other duties as assigned.

 

KNOWLEDGE & EXPERIENCE ______________________________________________________________

·       High School Diploma required.

·       3-5+ years’ experience working in a Primary Care or Behavioral Health administrative role required.

·       Bachelor’s Degree in Business, Finance, Accounting, Health Care Administration or a related field preferred.

·       Computer proficiency in Microsoft Office.

·       Superior interpersonal and customer service skills.

·       Ability to multi-task, think critically, use decisive judgment.

WORKING CONDITIONS ___________________________________________________________________

·       Work is normally performed in a typical interior/office/clinical work environment.

·       While hours of operation are generally standard, flexibility to work evenings and extended hours may be required.

·       Requires periods of sitting, standing, telephone, and computer work. 

·       Hearing: adequate to hear clients or patients in person, over the telephone or through telehealth technology.

·       Speaking: adequate to speak to clients or patients in person, over the telephone or through telehealth technology.

·       Vision: Visual acuity adequate to perform job duties, including reading information from printed sources and computer screens.

·       Physical effort required: occasional lifting and carrying items weighing up to 15 pounds, unassisted.

·       Possible exposure to blood borne pathogens while performing job duties.

·       Frequent bending, reaching, and repetitive hand movements, standing, walking, squatting and sitting, with some lifting, pushing and pulling exerted regularly throughout a regular workday.

·       Sufficient dexterity to operate a PC and other office equipment.
